About the Assistant Dispatch Manager Role

Catrion Group is seeking an Assistant Manager, Dispatch to join our team in Umluj, Saudi Arabia. This full-time management position is critical for overseeing daily dispatch operations and ensuring efficient, quality-controlled delivery processes within our operations.

Role Context and Operational Focus

The Assistant Dispatch Manager plays a pivotal role in maintaining the integrity of goods dispatched, aligning schedules with production, and ensuring strict compliance with Catrion Group standards and customer specifications. This position involves direct supervision of dispatch staff, continuous monitoring of performance, and proactive enhancement of operational procedures to meet demanding service requirements and project stakeholder needs.

Key Responsibilities

• Oversee daily dispatch operations and ensure comprehensive dispatch plans are in place for all activities.
• Assure that the quality and quantity of goods dispatched consistently meet company standards and customer's agreed specifications.
• Ensure the dispatch team is fully trained in health and safety awareness, conducting themselves in accordance with training, and reporting any hazards or incidents.
• Monitor staff compliance with existing procedures and ensure their understanding of company objectives, policies, and goals.
• Monitor inventory levels and collaborate with production and warehouse teams to align dispatch schedules with production output and order demand.
• Supervise dispatch staff, track performance metrics, resolve operational issues, and maintain effective communication with internal teams and customers regarding delivery status and concerns.
• Monitor and enhance dispatch portal activities to assure timely delivery of goods to customers as per required quantities and quality.
• Establish and update operating procedures to meet both customer and in-house demands.
• Prepare and submit reports as per established schedules and procedures, constantly reporting department progress.
• Receive and distribute operational communications and instructions to relevant supervisors and site teams for proper execution.
• Ensure proper documentation for all shipments, including invoices, delivery notes, temperature logs, and compliance records required for audits and traceability.
• Inform the Supervisor of any operational deviations that may impact service delivery, timelines, or quality standards.
• Complete daily activity and dispatch reports, highlighting operational performance, issues, and improvement opportunities.
• Handle customer complaints related to delivery issues, delays, or product condition, and implement corrective actions to prevent recurrence.
• Maintain and analyze dispatch data and prepare reports on delivery performance to support decision-making.
• Ensure accurate and timely data entry into catering and dispatch systems on a daily basis.
• Monitor communication channels between central dispatch, site kitchens, logistics, and service teams, intervening when corrective action is required.
• Act as the coordination link between operations, logistics, and Red Sea Project stakeholders on matters such as schedule changes, location changes, and service scope adjustments.

Qualifications and Experience

• Education: Bachelor's degree or higher diploma.
• Experience: 4-6 years of experience in dispatch or logistics management.
• Nationality: This position is open to Saudi nationals.

• Demonstrated ability to monitor performance, resolve operational issues, and ensure compliance with established procedures and standards.
