Job Description

About the Role

Luxury Collection is seeking a Purchasing Manager -Saudi Only to oversee all purchasing operations. This full-time role involves managing the ordering, receiving, storing, distributing, and payment processes for various items, while ensuring adherence to established procedures. The ideal candidate will have 2-5 years of relevant experience.

Key Responsibilities

  • Formulate and maintain an approved vendors list across all categories.
  • Generate and provide accurate and timely reports and presentations.
  • Compile, code, categorize, calculate, tabulate, audit, and verify information or data.
  • Ensure compliance with sanitation and safety standards as per brand guidelines.
  • Assist the Executive Chef with all aspects of purchasing (*, Food, Beverage, and Controllable items) to ensure quality and profitability.
  • Order all food and beverage items based on business needs and assist in maintaining/lowering budgeted costs.
  • Delegate and enforce first-in/first-out inventory rotation for all storeroom products.
  • Implement proper safeguards for the security of food and beverage storeroom assets.
  • Communicate with kitchen, restaurant management, and vendors to ensure timely deliveries.
  • Check invoices against received goods to verify quantity, quality, weights, and purchase specifications.
  • Utilize computer programs for daily and period-end food and beverage cost calculations.
  • Maintain inventory controls for proper levels, dating, rotation, and requisitions.
  • Complete administrative tasks, including C-7s, menu costing, and general office duties.
  • Conduct period-end inventory according to Food and Beverage and Accounting standard operating procedures.
  • Ensure price and product availability issues are communicated to the F&B Director and Executive Chef.
  • Receive and inspect all deliveries and maintain accurate controllable logs and beverage perpetuals.
  • Ensure accurate administration of all invoices and adherence to proper bookkeeping procedures.

Qualifications and Requirements

  • 2-5 years of experience in a relevant purchasing role.
  • Demonstrated knowledge of job-relevant issues, products, systems, and processes.
  • Proficiency in using computers and computer systems (hardware and software) for data entry and information processing.
  • Ability to apply individual judgment to ensure compliance with laws, regulations, and standards.
  • Commitment to continuous technical learning and application of new knowledge.
  • Strong interpersonal and communication skills to lead, influence, and encourage others.
  • Ability to advocate for sound financial/business decision-making and demonstrate honesty/integrity.
  • Experience in addressing disciplinary situations and completing performance reviews.
  • Capability to submit reports in a timely manner and ensure accurate documentation of profits and losses.
  • Proven ability to achieve and exceed performance, budget, and team goals.
  • Strong organizational skills to prioritize, organize, and accomplish work.
  • Knowledge of applicable taxes and ensuring their accurate collection and accrual.
  • Effective communication skills for interacting with supervisors, co-workers, and subordinates.
  • Analytical skills to evaluate information and solve problems.
  • Ability to work effectively with kitchen staff, vendors, and the Executive Chef.
  • Experience in coordinating and implementing accounting work and projects.
  • Familiarity with Federal and State laws applicable to operations procedures.
  • Ability to review financial statements, sales reports, and other performance data.
  • Experience in implementing property emergency plans and accident prevention programs.
