Mgr Purchasing

About the Role

The Luxury Collection is seeking a Mgr Purchasing to join their team in Ad Diriyah, Riyadh, Saudi Arabia. This is a full-time position responsible for managing purchasing operations, ensuring adherence to established procedures for ordering, receiving, storing, distributing, and payment of items. The role involves maintaining an approved vendor list across all categories and supporting various departments in their purchasing needs.

Key Responsibilities

• Generate and provide accurate and timely reports and presentations.
• Compile, code, categorize, calculate, tabulate, audit, or verify information and data.
• Ensure sanitation compliance and maintain sanitation and safety standards as specified in brand guidelines.
• Assist the Executive Chef with all aspects of purchasing, including food, beverage, and controllable items, to ensure quality and profitability.
• Order all food and beverage based on business needs and assist in maintaining/lowering budgeted food/controllable costs.
• Delegate and enforce first-in/first-out inventory rotation for all storeroom products.
• Ensure proper safeguards are in effect for the security of food and beverage storeroom assets.
• Enforce item use-up with storeroom personnel and kitchen management to keep inventory levels as low as possible.
• Communicate with kitchen, restaurant management, and vendors to ensure timely deliveries that satisfy advanced food production needs.
• Check invoices against shipments to ensure quantity, quality, weights, and purchase specifications are as ordered.
• Use existing computer programs to perform daily and period-end food and beverage cost calculations.
• Maintain inventory controls for proper levels, dating, rotation, and requisitions.
• Complete administrative tasks on a timely basis, including C-7s, menu costing, and general office duties.
• Complete period-end inventory according to Food and Beverage and Accounting standard operating procedures.
• Ensure price and product availability issues are communicated to the F&B Director and Executive Chef as needed.
• Ensure all LSOPs are adhered to by all employees.
• Receive and inspect all deliveries.
• Maintain an accurate controllable log and beverage perpetual.
• Ensure accurate administration of all invoices and adherence to proper bookkeeping procedures.

Accounting and Financial Management

• Apply knowledge of job-relevant issues, products, systems, and processes.
• Utilize computer systems (hardware and software) for data entry and information processing.
• Determine compliance of events or processes with laws, regulations, or standards.
• Stay updated technically and apply new knowledge to the role.
• Submit reports in a timely manner, ensuring delivery deadlines.
• Ensure profits and losses are documented accurately.
• Monitor all applicable taxes, ensuring they are current, collected, and/or accrued.
• Coordinate and implement accounting work and projects as assigned.
• Coordinate, implement, and follow up on audits for all areas of property operations.
• Balance ledgers.

Operational Support and Leadership

• Utilize interpersonal and communication skills to lead, influence, and encourage others, advocating sound financial/business decision-making.
• Address disciplinary situations in a timely and consistent fashion.
• Ensure performance reviews are completed on a timely basis for supervisors and non-management employees.
• Provide direction and assistance to other organizational units regarding accounting and budgeting policies and procedures.
• Inform and/or update executives, peers, and subordinates on relevant information in a timely manner.
• Work with operations teams to develop and execute an operational strategy aligned with the brand’s business strategy.
• Review comment cards, guest satisfaction results, and other data to identify areas for improvement.
• Evaluate if discipline teams are meeting service needs and provide feedback.
• Participate in property walk-throughs to ensure all areas are well-maintained and preventative maintenance processes are in place.
• Communicate a clear and consistent message regarding departmental goals to achieve desired results.

Customer Experience and Safety

• Provide excellent customer service by being readily available and approachable for all customers and guests.
• Take proactive approaches when dealing with customer and guest concerns.
• Extend professionalism and courtesy to customers and guests at all times.
• Respond timely to customer service department requests.
• Ensure all team members meet or exceed all hospitality requirements.
• Implement property emergency plans and sustain accident prevention programs.
• Provide a safe working environment in compliance with Occupational Safety and Health Administration/MSDS.
• Follow property-specific recovery plans.

Qualifications and Requirements

• 0-1 years of experience in a relevant field.
• Ability to analyze information and evaluate results to choose the best solution and solve problems.
• Proficiency in using existing computer programs effectively to post invoices, update items, and costs.
• Strong organizational skills and time management.
• Ability to present ideas, expectations, and information in a concise, organized manner.
• Demonstrated self-confidence, energy, and enthusiasm.
• Ability to manage group or interpersonal conflict.

Work Environment

This is a full-time position based in Ad Diriyah, Riyadh, Saudi Arabia, within The Luxury Collection. The role involves regular interaction with kitchen staff, vendors, and the Executive Chef, as well as participation in pertinent meetings.
