Autobia operates as a managed B2B marketplace focused on the automotive spare parts supply chain. The platform addresses challenges related to supply, delivery, and deferred inventory by providing access to reliable spare parts from major brands. Autobia also offers financial solutions designed to support customer growth and facilitate merchant inventory expansion.

The Role of Operations Coordinator

Autobia is seeking an Operations Coordinator to join its team in Riyadh. This full-time role involves overseeing operational tickets from initiation to closure, ensuring smooth coordination across preparation, inspection, shipping, and warehouse teams. The coordinator will serve as a direct link with the customer success team and manage follow-ups with shipping companies, returns, and exceptional cases until resolution. This position combines office-based work within the warehouse with field coordination as needed.

Key Responsibilities

  • Manage operational tickets from receipt to closure, including prioritization, assigning ownership, monitoring open and overdue tickets, escalating stalled cases, and documenting closure reasons.
  • Coordinate daily with preparation, inspection, shipping, and warehouse teams, leading multi-team cases (purchasing, inventory, logistics) to resolution.
  • Provide accurate order status information to the customer success team within approved response times and proactively report potential delays.
  • Follow up on delayed, suspended, and returned shipments with shipping companies, record delay, damage, and loss reports, pursue compensation, and monitor carrier performance.
  • Oversee returns, rejected requests, replacements, and non-compliant cash-on-delivery cases until completion.
  • Conduct site visits to customer locations when necessary for tasks such as part matching, returns, or discrepancy resolution, documenting outcomes and closing cases.
  • Prepare daily and weekly reports on ticket status, document recurring issues, and ensure a clear handover of open tickets at the end of each shift.

Qualifications and Experience

  • Diploma or Bachelor's degree in Business Administration, Logistics, Supply Chain, or a related field.
  • 1 to 3 years of experience in operations, customer service, or logistics.
  • Proficiency in ticketing systems and data spreadsheets (Excel / Google Sheets).
  • Excellent Arabic and good English communication skills, particularly for part names and shipping company systems.
  • Valid driver's license and ability to travel for field coordination.

Required Skills

  • Persistent follow-up and polite insistence to ensure task completion without creating friction.
  • High level of organization and ability to prioritize multiple parallel requests.
  • Composure under pressure and during escalation situations, with clear and concise written and verbal communication.
  • Strong sense of ownership over assigned tickets, regardless of execution by other teams.

Preferred Qualifications

  • Experience in the automotive spare parts sector or B2B e-commerce.
  • Familiarity with warehouse management systems, tracking dashboards, and reports.
