About the Senior Document Controller Role

UCC Holding is seeking a Senior Document Controller to join our team in Riyadh, Saudi Arabia. This full-time role is central to managing, controlling, and maintaining all project documentation throughout the project lifecycle. The successful candidate will ensure that engineering, technical, commercial, and contractual documents are accurately processed, distributed, archived, and maintained in compliance with company procedures, client requirements, and quality management standards.

Key Responsibilities

  • Develop and maintain robust document control procedures and workflows.
  • Manage the receipt, registration, distribution, tracking, and filing of all project documents.
  • Ensure completeness and compliance of all incoming and outgoing documents prior to distribution.
  • Maintain document numbering systems, revision control, and approval statuses.
  • Administer Electronic Document Management Systems (EDMS) such as Aconex, Procore, SharePoint, or similar platforms.
  • Coordinate effectively with engineering, procurement, construction, quality, and client teams for timely document submissions.
  • Generate comprehensive document status reports, transmittals, and project document registers.
  • Monitor overdue documents and proactively follow up with responsible stakeholders.
  • Maintain strict confidentiality and security of sensitive project information.
  • Archive project documentation in accordance with company and client requirements upon project completion.
  • Support internal and external audits related to document control processes.
  • Train and mentor junior document controllers on document management procedures and systems.
  • Identify opportunities for process improvement and implement best practices within document control.

Qualifications and Experience

  • Bachelor's degree or Diploma in Business Administration, Engineering, Information Management, or a related discipline.
  • Minimum of 7–10 years of experience in document control, preferably within construction, engineering, EPC, or infrastructure projects.
  • Demonstrated experience working on large-scale, multi-disciplinary projects.
  • Professional certification in document control or records management is considered an advantage.

Essential Skills

  • Proficiency in Electronic Document Management Systems (EDMS) such as Aconex, Procore, SharePoint, or Documentum.
  • Advanced knowledge of Microsoft Office Suite, with particular expertise in Excel.
  • Strong understanding of document numbering systems, revision control, and transmittal management.
  • Knowledge of ISO 9001 document control requirements.
  • Ability to prepare detailed reports and maintain accurate document registers.
