About the Clinic Supervisor Role

Magrabi Health is seeking a Clinic Supervisor to join its team in Makkah, Saudi Arabia. This is a full-time position focused on the comprehensive supervision and management of administrative and non-clinical activities within the Out-Patient Department (OPD).

Role Purpose and Scope

The Clinic Supervisor is responsible for overseeing OPD Reception, Appointments, and Switchboard staff. This role manages the daily operations of administrative, non-clinical functions within the Out-Patient Department to ensure the delivery of quality services and the achievement of departmental and organizational goals. The supervisor also monitors and oversees all cashier duties performed by OPD Receptionists.

Key Responsibilities

• Manage the day-to-day activities of the OPD Reception effectively, demonstrating strong leadership.
• Serve as a resource for staff in OPD Reception, Appointments, and Switchboard to promote integration across these areas.
• Develop and monitor staff schedules to ensure efficient completion of activities in assigned areas.
• Develop, implement, and maintain mechanisms to ensure clinic appointment schedules are consistently booked with appropriate patient types.
• Ensure successful completion of the General Orientation Program for all new subordinates and supervise the implementation of the Departmental Orientation Program for newly hired OPD staff.
• Open and close clinic sessions, accounting for physician leave, surgical schedules, and other factors necessitating changes.
• Maintain appropriate liaison with other hospital/center services, departments, and physicians for effective coordination.
• Supervise all cashier duties performed by OPD Receptionists, intervene to resolve problems, enhance patient experience, and liaise on financial issues with the accounting manager/chief of accounts.
• Act as a team coach for OPD Reception staff, providing immediate counseling on job performance and general employee conduct. Conduct probationary and annual performance appraisals for all subordinates.
• Identify subordinates' training needs and schedule them for required job-related training.
• Demonstrate flexibility to undertake additional responsibilities and tasks to support team objectives, manage peak workloads, and ensure project continuity and departmental success.
• Implement all HR and operational motivation policies within the department.
• Monitor patients’ waiting times, prepare monthly reports, and recommend necessary improvements.
• Ensure patient satisfaction surveys are conducted in accordance with Magrabi policy.

Qualifications and Experience

• Bachelor’s degree from an accredited college or university.
• At least two (2) years of experience in the Out-Patient Department of a hospital or healthcare center.

Essential Skills

• Proficiency in English language.
• Strong computer skills.
• Demonstrable leadership skills and the ability to provide objective direction and guidance for assigned areas and staff.
