About the Front Office Agent Role

Kempinski Hotels is seeking a Front Office Agent to join our team in Al Khobar, Eastern region. This full-time position is crucial for delivering exceptional guest experiences, as the incumbent serves as a primary point of contact, shaping the first and last impressions guests have of the hotel. The role involves managing guest arrivals and departures efficiently and professionally, adhering to established hotel standards.

Key Responsibilities

The Front Office Agent is responsible for a range of duties that ensure smooth hotel operations and high guest satisfaction. These responsibilities include:

  • Performing guest check-in and check-out procedures in a friendly and professional manner, in accordance with Kempinski procedures and Leading Quality Assurance (LQA) standards.
  • Ensuring that LQA results consistently exceed 85%.
  • Registering arriving guests, assigning rooms, and accommodating special requests whenever feasible. Assisting guests with registration cards as needed.
  • Utilizing suggestive selling techniques to promote rooms and other hotel services.
  • Verifying guest payment methods and following established credit-checking procedures, or referring cash payments to cashiers.
  • Processing guest check-out, inquiring about last-minute charges, receiving payments, settling accounts, and providing invoices.

Operational Duties and Guest Support

Beyond check-in and check-out, the role encompasses various operational and support functions:

  • Handling all front office cashier transactions, including posting charges to guest accounts and exchanging foreign currency according to procedures.
  • Balancing the cash float accurately at the end of each shift.
  • Responding to all guest requests and questions, whether by telephone or in person, providing information, taking appropriate actions, or referring matters to relevant personnel. This includes issuing safe deposit boxes, handling messages, and addressing complaints.
  • Coordinating room status updates with the housekeeping department, notifying them of late check-outs, early check-ins, and special requests.

Knowledge and Professionalism

Maintaining a high level of professionalism and knowledge is essential for this role:

  • Staying informed about hotel products, services, daily activities, and meeting schedules.
  • Possessing a working knowledge of room reservation procedures.
  • Maintaining the neatness and organization of the working area at all times.

Qualifications and Experience

Candidates for the Front Office Agent position should meet the following criteria:

  • A minimum of 0-1 year of relevant experience in a similar front office or hospitality role.
  • Demonstrated ability to interact with guests in a friendly and caring manner.
  • Strong organizational skills and attention to detail.

Work Environment

This is a full-time position based in Al Khobar, within the Eastern region. The role operates within a dynamic hotel environment where additional responsibilities and tasks may be assigned as needed to meet business and hotel requirements.
