Overview of the Role

Bristol Myers Squibb is seeking a Senior Meetings Specialist to join its team in Riyadh, Saudi Arabia. This full-time position focuses on the efficient management of pharmaceutical meetings and Health Care Professional (HCP) payments. The role requires 2-5 years of relevant experience and contributes to enhancing customer experience and operational efficiency within the industry.

The EMCoE Team and Mission

The pharmaceutical industry's meetings management landscape is dynamic and expanding. The Events and Meetings Management Centre of Expertise (EMCoE) team at Bristol Myers Squibb is dedicated to simplifying processes and technologies, alongside developing innovative local solutions. This approach aims to enhance the overall customer experience for both internal and external stakeholders at BMS meetings and events, while delivering sustained operational cost savings without compromising efficiency.

Core Responsibilities

  • Act as an expert facilitator for Meetings & Events, managing Health Care Professionals and internal stakeholders, venue contracting, coordination of invitations, travel logistics, material preparation, and budget management from event initiation through execution and close-out.
  • Ensure all event execution aligns with BMS Standard Operating Procedures (SOPs) and statutory compliance requirements for the local market, conducting due diligence across all activities.
  • Develop and maintain strong relationships across the matrix environment, fostering alignment and communication with multiple internal and external stakeholders.
  • Collaborate with internal experts including the Meetings Management Business Partner, Strategy and Ops, Legal & Compliance, Global Expenditures, Global HCP, Congress & Meetings Management, and Business Control, seeking advice where appropriate.
  • Serve as an expert facilitator for contract management, advising stakeholders on the HCP contracting process within the local market and cross-border requirements.
  • Support the Meetings Management Business Partner with activities related to training implementation in the local market, including the development of training materials and maintenance of the local market SharePoint site.

Process Improvement and Collaboration

This role involves proactively seeking opportunities for process simplification, engaging multiple stakeholders for input and support. The specialist supports the strategy for continuous improvement through standardization, automation, and process streamlining. A key responsibility is ensuring the timely escalation and resolution of issues related to all aspects of meetings management and Health Care Professional payments. Collaboration with other EMCoE Leads and the Cross Border Hub is essential to align cross-border activities and meet local transparency requirements.
