About the Role

The King Fahd University of Petroleum & Minerals (KFUPM) in Dhahran, Eastern region, is seeking a Procurement Administrator for a full-time position. This role is integral to supporting the effective administration of procurement contracts throughout their entire lifecycle. The administrator ensures compliance with contractual terms, procurement policies, and governance requirements, while coordinating with internal stakeholders and suppliers to facilitate contract execution, monitor performance, and maintain accurate documentation. The position aims to minimize contractual risks and ensure value delivery to the University, requiring 2-5 years of relevant experience.

Contract Administration and Execution

  • Administer procurement contracts from award to close-out, ensuring execution aligns with approved procurement policies and governance requirements.
  • Coordinate contract implementation with internal stakeholders and suppliers.
  • Manage contract amendments, variation orders, extensions, and renewals, reviewing supporting documentation to ensure proper justification.
  • Track contract expiry dates and initiate renewal activities in a timely manner.

Compliance and Performance Monitoring

  • Monitor compliance with contractual terms, conditions, and Service Level Agreements (SLAs).
  • Ensure adherence to KFUPM procurement policies, delegated authority, and applicable regulations.
  • Identify contractual risks and escalate non-compliance issues when required.
  • Monitor supplier performance against contractual obligations and Key Performance Indicators (KPIs).
  • Track contract deliverables, milestones, and reporting requirements.
  • Coordinate with end users to resolve contract performance issues and recommend corrective actions where supplier performance does not meet contractual expectations.

Documentation and Stakeholder Engagement

  • Maintain complete, accurate, and readily accessible contract records and documentation, including an organized contract archiving system for all procurement contracts.
  • Prepare correspondence and other contract-related documentation.
  • Maintain confidentiality of all procurement and contractual information.
  • Coordinate with end users, Legal Affairs, Finance, and suppliers on contract-related matters.
  • Support clarification meetings and contractual discussions with suppliers, facilitating communication among stakeholders throughout the contract lifecycle.
  • Provide guidance on contractual requirements and documentation to stakeholders.

Reporting and Process Enhancement

  • Prepare periodic reports on contract status, renewals, supplier performance, and contract compliance.
  • Analyze contract data to identify trends, improvement opportunities, and potential contractual risks.
  • Support management by providing accurate contract performance information.
  • Support the development and implementation of contract administration best practices.
  • Recommend improvements to contract administration processes and procedures.
  • Contribute to initiatives that improve contract compliance and operational efficiency, including supporting digitalization and automation of contract management activities.

Required Experience

Candidates for the Procurement Administrator position must possess 5 years of experience in procurement administration or a closely related field. This experience should demonstrate a strong understanding of contract lifecycle management, compliance frameworks, and performance monitoring within a procurement context.
