About the Tamayyaz Program and Role

IBIS is seeking a Tamayyaz Reservation Agent to join its team in Jeddah and Makkah, Saudi Arabia. This full-time position is offered as part of the Tamayyaz Nationalization Development Program, which enables Saudi talents to acquire essential skills and knowledge for various professions within the hospitality field. The program utilizes a combination of classroom learning and on-job training within a specific timeframe. This opportunity is exclusively for Saudi nationals.

Primary Objective of the Position

The primary objective of the Reservation Agent is to maximize hotel revenue and ensure guest satisfaction. This is achieved by efficiently receiving, handling, and processing guest reservations under the direction of the Space Controller. The job incumbent is expected to operate in line with the hotel’s established guidelines, business plan, corporate guidelines, and service concepts.

Key Responsibilities

  • Greet guests over the phone in a friendly and courteous manner.
  • Accurately record reservation information, identifying and recording group and transient business codes.
  • Inform other departments of VIP arrivals and pre-block special requests or VIP accommodations.
  • Identify commissionable reservations, secure required information, and process deposit details.
  • Identify and record special billing instructions, approving credit after consultation with the Space Controller.
  • File all reservations systematically for easy referral and assist in maintaining accurate room inventory control.
  • Assist with the preparation of the four-day forecast and VIP list, and keep the Space Controller informed of new group bookings.
  • Utilize yield management and up-selling techniques to achieve maximum occupancy and average rate.
  • Handle all special requests appropriately and utilize guest history files for personalized service.
  • Promote hotel restaurants and other services and facilities to guests to maximize customer satisfaction and hotel revenue.
  • Deal with assigned incoming correspondence, faxes, and reservation messages in a timely and accurate manner.

Operational Standards and Compliance

  • Follow all applicable laws, corporate standards, and guidelines.
  • Maintain high confidentiality in regards to guest privacy.
  • Report all potential and real hazards appropriately and immediately.
  • Fully understand and follow the hotel’s fire, emergency, and bomb procedures to ensure the security and safety of guests and employees.
  • Work in a safe manner that does not harm or injure self or others, adhering to hotel regulations and existing laws.
  • Maintain the highest standards of personal hygiene, dress, uniform, appearance, body language, and conduct.

Qualifications and Experience

Candidates for this role should possess 0-1 years of experience. This position is suitable for individuals looking to develop their careers within the hospitality sector through a structured nationalization program.

Professional Development and Conduct

  • Attend all meetings and training required by the Space Controller.
  • Assist colleagues in performing similar or related jobs after approval of the Space Controller.
  • Ensure guest satisfaction by attending to their requests and inquiries courteously and efficiently.
  • Accept a flexible work schedule necessary for uninterrupted service to hotel guests.
  • Maintain own working area and materials clean, tidy, and in good shape, reporting defective materials and equipment to the Space Controller.
  • Continuously seek to improve knowledge of own job function, including hotel facilities, nearby sights of interest, hotel standards of operation, departmental procedures, accepted methods of payment, and the hotel’s credit policy.
