The Role of Parts Manager

Abdul Latif Jameel Motors is seeking a Parts Manager to join their team in Makkah. This full-time role is responsible for managing the procurement function, ensuring high service rates, and maintaining reliable supply of parts. The Parts Manager will oversee the entire order tracking process from placement to customer delivery, impacting parts stock availability and indirectly influencing customer satisfaction.

Key Responsibilities

• Place purchase orders with international and local suppliers.
• Achieve a 99% service rate with reliable supply by monitoring orders and following up on shipping.
• Manage all LC/payments follow-up with the finance department.
• Lead the procurement function, integrating the procurement team and suppliers.
• Manage order tracking documentation from ordering to customer delivery.
• Ensure parts availability fulfillment and on-time ordering from suppliers.
• Conduct timely follow-ups with suppliers and evaluate their performance.
• Ensure timely payments to suppliers.
• Manage and maintain overall orders and supply flow for smooth operation.
• Coordinate with related departments (HR, finance, quality, IT) to provide necessary support for ongoing projects.
• Ensure real-time data entry in the IT system and address system issues or new requirements.
• Oversee shipping deliveries, location maintenance, and safety risk measures.
• Follow up on critical tasks and project statuses daily, addressing burning issues directly.
• Conduct regular team meetings to discuss achievements and challenges.
• Circulate daily activity monitoring reports, including ordering and fulfillment reports.
• Interact with vendors, maintain relationships, and follow up on outstanding project steps.
• Prepare and update weekly status reports for management, reporting critical issues for resolution.

Qualifications and Experience

• 5-10 years of relevant experience.
• Proven ability to manage purchase orders with international and local suppliers.
• Experience in monitoring orders, shipping follow-up, and payment processes.
• Demonstrated leadership in procurement functions and supplier integration.

Strategic Impact

This role holds a crucial strategic position in managing and tracking orders from assigned suppliers, acting as the primary liaison to expedite Purchase Order deliveries. The Parts Manager will compile and analyze PO data to determine effective transportation methods, aiming to prevent delays. Additionally, the role involves developing and monitoring the team, including the creation of a succession plan within the department.
