Role Summary: Rooms Controller

The Rooms Controller is responsible for managing room assignments and guest requests to ensure smooth operations and guest satisfaction. This full-time position involves coordinating various front office tasks, maintaining accurate records, and upholding the service standards of The Ritz-Carlton. The role is suitable for individuals with less than one year of related work experience.

Key Responsibilities

Assign rooms based on guest requests and preferences when feasible.
Pre-register designated guests and prepare key packets.
Organize and coordinate check-in and pre-registration procedures for arriving groups.
Review, track, and accommodate requests for room or check-out changes, communicating status to relevant staff.
Confirm reservations and cancellations.
Review out-of-order rooms daily and ensure rates align with market codes, documenting any exceptions.
Verify and adjust guest billing.
File guest paperwork and documentation.
Process all guest check-ins and check-outs, activate room keys, and secure valid payments.
Identify any over-commitments, perform duplicate reservation checks, and block rooms.
Run daily reports and follow up with guests to ensure satisfaction with requests or problem resolution.
Receive, record, and relay messages accurately, completely, and legibly.

General Duties and Professional Conduct

Adhere to all company policies and procedures, maintaining a clean and professional appearance.
Maintain confidentiality of proprietary information and protect company assets.
Welcome and acknowledge guests according to company standards, anticipating and addressing service needs.
Assist individuals with disabilities and express genuine appreciation to guests.
Communicate professionally, prepare accurate written documents, and answer telephones using appropriate etiquette.
Coordinate tasks and collaborate effectively with other departments.
Serve as a departmental role model, fostering positive working relationships and supporting team goals.
Comply with quality assurance standards.
Perform physical tasks such as standing, sitting, or walking for extended periods, and lifting objects up to 10 pounds.
Utilize computers and/or POS systems for information entry and retrieval.

Qualifications and Requirements

Education: High school diploma or * equivalent.
Experience: Less than one year of related work experience.
Supervisory Experience: No supervisory experience is required for this role.
Certifications: No specific licenses or certifications are required.
