About the Role

King Abdullah University of Science and Technology (KAUST) is seeking a KGSP Students Operations Lead to join the King Abdullah University of Science and Technology Gifted Student Program (KGSP) team. This full-time position is responsible for the operational management of critical program functions, encompassing admissions, student enrichment, and comprehensive program data and reporting. The role focuses on ensuring the effective, accurate, and timely delivery of all program activities through meticulous process management and stakeholder coordination.

Role Context and Objectives

The KGSP Students Operations Lead manages end-to-end processes, coordinates timelines and stakeholders, and maintains accurate records across the program. A key objective is to communicate effectively with students to facilitate the smooth execution of all activities. The Lead collaborates closely with the Head of KGSP and internal team members to support continuous program delivery and improvement, while also contributing to wider team priorities and undertaking additional responsibilities as needed to ensure program effectiveness.

Admissions Operations Management

• Manage the end-to-end operational delivery of the KGSP admissions process.
• Coordinate application timelines, requirements, forms, documentation, and key admission deadlines.
• Track application status and follow up with students regarding missing information or required actions.
• Work closely with the Head of KGSP and internal team members to ensure the admissions process aligns with program requirements and priorities.
• Communicate with applicants and students throughout the admissions process.
• Maintain accurate and organized admissions records.

Student Enrichment Coordination

• Manage the planning, coordination, and operational delivery of student enrichment programs.
• Coordinate logistics for enrichment activities, including registrations, forms, attendance, and participation records.
• Communicate with students about enrichment activities, requirements, and deadlines.
• Coordinate with internal and external stakeholders on program logistics.
• Track participation and follow up with students as needed.
• Maintain organized records of student enrichment activities.
• Gather feedback and participation data to support the evaluation and continuous improvement of enrichment programs.

Program Data and Reporting

• Maintain accurate student and program data in relevant systems and spreadsheets.
• Update records and ensure information is complete and current.
• Track key deadlines, activities, participation, and other program information.
• Prepare routine reports, lists, and data summaries for the program leadership team.

Required Experience

Candidates for the KGSP Students Operations Lead position should possess 5 to 10 years of experience in operational management, program coordination, or a related field. The role requires demonstrated ability to manage complex processes, coordinate multiple stakeholders, and maintain accurate records efficiently.
