About the Role

alfanar is seeking a Specialist, Travel Services to coordinate travel requests and provide professional service to employees. This full-time role involves ensuring efficient, timely, and quality travel arrangements in accordance with defined policies and procedures, contributing to departmental operational plans and developments. The position requires 2-5 years of relevant experience.

Key Responsibilities

Handle domestic and international flight bookings, including business trips, transfers, final exit tickets, and first-time vacation tickets for employees and their families.
Manage KSA direct local and international hotel bookings, along with rail and transportation requests.
Control costs for air tickets and hotel bookings, ensuring the best prices are secured.
Record entitlement deductions and process requests based on employee eligibility.
Act as a coordinator between employees and travel agencies.
Prepare embassy checklists and letters for business and tourist visas, coordinating with travel agencies for visa assistance.
Screen daily flight operations, prepare lists of traveling employees, and send daily reminder SMS messages prior to departure.
Review and cross-check supplier and hotel invoices, coordinate with hotels and divisions for payment processing, and manage all air ticket invoices.
Review confirmation of employee travel deductions and ensure accurate fare differences for air ticket deductions.
Update information for travel invoices, prepare deductions and settlement refunds, and submit reports to the Payroll Department.
Track and follow up on refunds with travel agencies, managing refund claims for business trips, vacations, and unutilized air tickets.
Post fare lists in SAP and publish monthly and quarterly flight fare lists on the company portal.

Role Accountabilities

Maintain updated soft and technical skills relevant to the job.
Perform planned activities to meet operational and development targets according to delivery schedules, utilizing resources effectively within efficient cost and time.
Provide periodic reports detailing deviations and execution of planned tasks.
Resolve related problems and escalate complex operational issues as needed.
Ensure quality requirements are met to develop effective quality control and processes.
Coordinate well-defined written systems, policies, and procedures, seeking automation opportunities.
Comply with relevant policies, procedures, and work instructions.
Ensure compliance with safety, quality, and environmental management procedures and controls within the defined area of work.

Qualifications and Experience

2-5 years of experience in travel services or a related field.
Demonstrated ability to coordinate travel requests efficiently and professionally.
Proficiency in handling reservations, invoicing, and refund processes.
Strong organizational and communication skills.
