Overview of the Guest Care Representative Role

Nahdi Medical Co. is seeking a Guest Care Representative for a full-time position in Al Jubail, Eastern Region. This role is integral to providing a high-quality, professional reception and administrative service within a polyclinic setting.

Core Purpose of the Role

The primary purpose of this position is to act as the first point of contact for all patients and visitors. The representative is responsible for ensuring that all inquiries are handled efficiently and courteously, thereby effectively conveying the polyclinic’s professional image and branding.

Key Responsibilities

• Welcome and greet all patients and visitors, both in person and over the phone, addressing their inquiries efficiently and courteously to ensure patient satisfaction.
• Ensure the reception area is continuously manned, including during breaks, to prevent health, safety, and security issues and to maintain constant availability for patient inquiries.
• Register new patients and update existing patient demographics by collecting detailed personal and financial information.
• Book, amend, and cancel patient appointments in accordance with the polyclinic’s appointment procedures to ensure optimum efficiency of the system.
• Facilitate urgent consultations for patients without prior appointments by booking them into appropriate slots and referring them to the necessary physician.
• Receive and accurately record requests for home visits, assessing urgency based on established practice protocols, and printing home visit summary sheets.
• Advise patients on relevant charges for private or medical insurance services, process payments, and issue receipts for services delivered, following agreed registration processes for insured patients.
• Regularly check emails and fax machines for incoming messages and send outgoing communications as required.
• Ensure the reception area is consistently clean and tidy, with all information leaflets readily available for patients and the public.
• Receive and redirect calls or take messages from patients and the public in a professional and polite manner.

Work Environment and Schedule

This role is 100% indoors. The work schedule consists of 6 working days per week with 1 day off. Daily working hours are 8 net hours, structured in shifts to ensure continuous attendance at reception, including a 1-hour rota break.

Experience Requirements

Candidates for this position are required to have 5 to 10 years of relevant experience in a guest care, reception, or administrative role, preferably within a healthcare or polyclinic environment.
