About the Executive Secretary Role

NOK Human Capital is seeking an organized and service-oriented Executive Secretary to provide comprehensive administrative and personal assistant support to senior executives within a reputable, diversified business group. This group, headquartered in Dammam, Eastern Province, has significant interests across real estate, infrastructure, and investments, and prioritizes excellence, integrity, and operational efficiency. The role is full-time and requires 2-5 years of experience.

Role Overview and Responsibilities

The Executive Secretary will be instrumental in ensuring the smooth operation of executive functions. Key responsibilities include:

  • Managing executive calendars, including scheduling, rescheduling, and prioritizing meetings across different time zones, and preparing necessary briefs and agendas.
  • Coordinating all aspects of executive travel, from flights and visas to accommodation, ground transportation, and detailed itineraries.
  • Serving as the primary point of contact for executives, screening calls and correspondence with internal and external stakeholders.
  • Preparing, formatting, and proofreading reports, presentations, and executive summaries using Microsoft Office Suite.
  • Tracking action items, deadlines, and follow-ups to ensure timely execution of tasks and decisions.
  • Organizing board and leadership meetings, managing logistics, virtual meeting links, materials, minutes, and action registers.
  • Maintaining confidential files, records, and databases with meticulous attention to detail.
  • Handling general personal assistant duties such as processing expenses, reimbursements, and personal appointments.
  • Providing support for ad-hoc executive projects and light event coordination.

Required Qualifications and Experience

Candidates for this position must possess the following qualifications:

  • A minimum of 2–5 years of experience providing executive support to C-level or senior leadership.
  • Fluency in both spoken and written English.
  • High proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Proven expertise in calendar management and coordinating complex travel arrangements (domestic and international).
  • Strong reporting skills, including drafting, formatting, and consolidating executive reports.
  • Excellent business writing and presentation skills.
  • Demonstrated discretion and integrity in handling sensitive information.
  • Familiarity with video conferencing tools and basic project tracking methodologies is preferred.
