About the Role

alfanar is seeking a Business Operations Specialist to join our team in Riyadh. This full-time role is central to managing critical HR processes, including employee terminations and resignations, conducting exit interviews, and providing essential HR consultancy. The specialist will play a key role in supporting employee relations, resolving grievances, and facilitating re-hiring and promotion initiatives, all while ensuring compliance with HR policies and fostering a positive workplace culture. Candidates should possess 2-5 years of relevant experience.

Key Responsibilities

  • Initiate and manage employee termination and resignation processes, including the creation of all required documentation.
  • Conduct exit interviews and collaborate with managers to ensure efficient and timely finalization of processes.
  • Provide HR consultancy to various departments, guiding line and senior managers on the understanding and implementation of Employee Relations (ER) and HR policies and procedures.
  • Support areas such as restructuring plans, performance management, employee allowances, and the application of HR best practices.
  • Facilitate re-hiring processes by identifying issues and coordinating with relevant stakeholders.
  • Address grievances, bullying, and harassment cases, offering advice to management on appropriate disciplinary procedures and actions.
  • Advise on employee promotions for grades C3 and below, and manage all internal hiring-related matters.

Employee Relations and Advisory

  • Cultivate strong relationships with employees to understand their needs, address complaints, and report critical issues to management.
  • Serve as the primary point of contact for HR-related inquiries for both managers and employees.
  • Conduct Employee Relations (ER) investigations and provide recommendations on disciplinary actions.
  • Oversee and manage all activities and projects related to Employee Relations.
  • Gather and analyze training needs from employees, collaborating with the HRBP Manager to develop comprehensive training plans.

Performance Management and Reporting

  • Ensure the timely evaluation of new hires, providing fair assessments and constructive feedback.
  • Administer the annual performance management cycle, including awareness sessions, calibration sessions, and follow-ups on deadlines.
  • Design, prepare, and develop comprehensive turnover reports covering aspects such as hiring, leaving, transferring, and re-hiring.
  • Maintain and update ER forms, including those for exit interviews, complaints, and termination/resignation documentation.

  • HR Proficiency: Ability to acquire and maintain updated soft and technical skills relevant to the role.
  • Delivery: Execute planned activities to meet operational and development targets according to schedules, utilizing resources effectively within cost and time constraints. Provide periodic reports detailing deviations and task execution.
  • Problem-Solving: Resolve arising problems and escalate complex operational issues as necessary.
  • Quality: Ensure adherence to quality requirements, developing effective quality control and processes, including specifications for products, processes, or related activities.
  • Business Process Improvements: Coordinate well-defined written systems, policies, and procedures, actively seeking automation opportunities.
  • Compliance: Adhere strictly to all related policies, procedures, and work instructions.
  • Health, Safety, and Environment: Ensure compliance with relevant safety, quality, and environmental management procedures and controls within the defined area of work activity.

Qualifications and Experience

The ideal candidate will have 2 to 5 years of experience in a similar business operations or HR-focused role, demonstrating a strong understanding of employee relations and HR processes.
