Car Rental Specialist

About the Role

Al Jazirah Vehicles Agencies Co. Ltd. is seeking a Car Rental Specialist to join their team in Riyadh, Saudi Arabia. This full-time role focuses on supporting the daily operations of the operational lease business by coordinating vehicle leasing activities and managing customer requirements. The specialist will ensure timely vehicle delivery, maintenance, and return, while delivering excellent customer service and maintaining accurate lease records.

Role Purpose

The primary purpose of this position is to ensure operational efficiency in line with company policies and contractual agreements. The Car Rental Specialist will monitor fleet availability and coordinate with various internal teams to facilitate smooth leasing operations, aiming to maximize fleet utilization and customer satisfaction.

Key Responsibilities

• Coordinate daily car rental and operational leasing activities, ensuring vehicles are allocated and delivered according to contractual agreements.
• Handle customer inquiries, lease requests, vehicle availability, and contract-related matters.
• Prepare and process lease agreements, vehicle handover documents, delivery notes, and vehicle return documentation.
• Coordinate with sales, fleet management, maintenance, and finance teams for smooth execution of leasing operations.
• Monitor vehicle availability, utilization, delivery schedules, and return dates to maximize fleet efficiency.
• Follow up on vehicle maintenance, repairs, inspections, and replacements to minimize vehicle downtime.
• Maintain accurate records of lease contracts, customer information, vehicle assignments, and fleet movements.
• Monitor contract expiry dates and coordinate renewals, extensions, and vehicle returns.
• Coordinate with customers regarding vehicle delivery, collection, replacement, and operational requirements.
• Support the preparation of operational reports covering fleet utilization, vehicle availability, contract status, and customer requests.
• Ensure compliance with company policies, leasing procedures, and applicable regulatory requirements.
• Address customer complaints and operational issues promptly, escalating unresolved matters to the Operations Lease Manager.
• Coordinate with the finance team regarding invoicing, rental charges, outstanding payments, and contract discrepancies, where applicable.
• Identify opportunities to improve operational processes, customer satisfaction, and fleet utilization.

Qualifications and Experience

Candidates for this role should possess 2-5 years of relevant experience in car rental or operational leasing activities. The ability to manage customer requirements, coordinate with multiple teams, and maintain accurate records is essential for success in this position.
