Role Overview: Fleet Specialist

CTRD Arabia is seeking a Fleet Specialist to join its Country Management Office (CMO) in Riyadh. This is a contract position requiring 2-5 years of experience. The CMO supports and develops the people, projects, and business management of CTRD (UK & Arabia) within the Kingdom of Saudi Arabia by providing centralized functions. The Fleet Specialist will support the management, maintenance, and optimization of the company’s vehicle fleet and logistics operations across the Kingdom, ensuring operational efficiency, safety, and compliance with local regulations. This role is critical for providing reliable fleet and logistics support to company projects and personnel.

Key Responsibilities

• Maintain and update the fleet register, including receiving new vehicles and ensuring all records are accurate.
• Monitor and coordinate vehicle servicing, inspections, and preventive maintenance according to manufacturer recommendations and legal requirements.
• Schedule and track preventive and corrective maintenance to ensure fleet availability and operational reliability.
• Manage vehicle documentation, including registration, insurance, permits, and inspection records.
• Ensure compliance with company safety standards, operational procedures, and relevant legal regulations for vehicle operations.
• Develop, communicate, and support company policies for safe, legal, and responsible vehicle use, including monitoring usage and identifying misuse.
• Manage responses to road traffic incidents, including accident reporting, insurance coordination, arranging repairs, and organizing replacement vehicles.
• Coordinate vehicle repairs and workshop visits, following up with service providers for timely resolution.
• Maintain and manage vehicle running kits and essential fleet equipment.
• Support daily operational planning and coordination of fleet activities to ensure vehicle availability for projects and personnel.
• Maintain accurate fleet logs, service records, mileage reports, and fuel consumption data.
• Prepare regular management reports on fleet performance, operational efficiency, incident tracking, and cost analysis.
• Liaise with external service providers, including workshops, rental agencies, and insurance companies.
• Support procurement activities related to fleet operations, including spare parts, equipment, and service contracts.
• Monitor fleet-related expenditures, such as fuel, maintenance, and spare parts, to ensure operations remain within budget.
• Support annual fleet budget planning, identifying potential risks, cost variations, and operational requirements.
• Provide training, advice, and operational support to staff using company vehicles to improve safety, efficiency, and compliance.

Required Experience

• 2-5 years of experience in fleet management or a related field.

This is a contract position based in Riyadh, Kingdom of Saudi Arabia. The Fleet Specialist will work closely with internal departments, suppliers, and vehicle users to maintain strong communication channels and ensure smooth logistics operations and effective fleet utilization across all projects.
