About the Assistant Front Office Manager Role

The Jeddah EDITION is seeking a dedicated and experienced Assistant Front Office Manager to join its full-time team. This role involves supporting the Front Office Manager in overseeing daily front office operations, including Bell/Door Staff, Switchboard, and Guest Services/Front Desk. The Assistant Front Office Manager ensures efficient check-in and check-out processes, maximizes departmental financial performance, and maintains high levels of guest and employee satisfaction.

Operational Management and Departmental Goals

This position directs and collaborates with managers and employees to implement procedures that ensure operational efficiency and adherence to standards. Key responsibilities include:

  • Managing day-to-day operations to ensure quality standards are met and customer expectations are exceeded.
  • Developing specific goals and plans to prioritize, organize, and accomplish work effectively.
  • Collaborating with the Front Office Manager to continually improve departmental service performance.
  • Communicating clear and consistent messages regarding Front Office goals to achieve desired results.
  • Participating in the development and implementation of corrective action plans based on guest feedback and satisfaction results.
  • Ensuring compliance with all Front Office policies, standards, and procedures.
  • Monitoring adherence to credit policies and procedures to minimize bad debts and rebates.
  • Functioning in place of the Front Office Manager during their absence.

Ensuring Exceptional Guest Service

A primary focus of this role is to deliver outstanding guest experiences and foster customer loyalty. Responsibilities include:

  • Providing services that consistently exceed customer expectations for satisfaction and retention.
  • Improving service delivery by guiding staff to understand guest needs and providing feedback and coaching as required.
  • Serving as a role model for appropriate behaviors and setting a positive example for guest relations.
  • Empowering employees to deliver excellent customer service.
  • Interacting regularly with guests to gather feedback on product quality, service levels, and overall satisfaction.
  • Effectively handling guest problems and complaints.
  • Implementing and communicating the customer recognition/service program.

Team Leadership and Development

The Assistant Front Office Manager leads and supports the front desk team, fostering a collaborative and productive work environment. Key duties include:

  • Leading, influencing, and encouraging team members through strong interpersonal and communication skills.
  • Advocating for sound financial and business decision-making, demonstrating honesty and integrity.
  • Encouraging and building mutual trust, respect, and cooperation among team members.
  • Supervising and managing employees, overseeing all day-to-day operations.
  • Ensuring employee recognition is consistently applied across all shifts.
  • Establishing and maintaining open, collaborative relationships with employees.
  • Providing feedback to employees based on observations of service behaviors.

Required Qualifications and Experience

Candidates for this position should meet the following criteria:

  • A high school diploma or GED, combined with at least 2 years of experience in guest services, front desk operations, or a related professional area.
  • Alternatively, a 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related major, with no prior work experience required.
