The Role of Freight Operations Specialist

Vault Logistics is seeking a Freight Operations Specialist to join its team in Jeddah, Makkah, Saudi Arabia. This full-time role involves managing various operational aspects of freight forwarding, ensuring smooth coordination and execution of logistics processes. The specialist will be responsible for critical tasks from booking coordination to customs clearance and delivery, playing a key role in maintaining operational efficiency and client satisfaction.

Key Responsibilities

• Coordinate bookings with customers, carriers, airlines, agents, and internal teams.
• Prepare and verify Shipping Instructions, Master/House Bills of Lading (BLs), and Air Waybills (AWBs).
• Manage FASAH procedures, manifests, Delivery Orders, appointments, gate passes, and cargo release.
• Monitor customs clearance, delivery processes, container release, detention, demurrage, and empty returns.
• Track shipment milestones and proactively manage potential delays and exceptions.
• Validate operational costs against quotations and prepare complete billing files.
• Support Ocean and Air export operations, container planning, and feeder-vessel logistics.

Systems and Reporting

• Utilize freight forwarding systems and operational platforms effectively.
• Maintain accurate Customer Relationship Management (CRM) records for customer interactions, inquiries, follow-ups, and operational activities.
• Ensure accurate maintenance of shipment records, milestones, costs, and operational reports.
• Demonstrate proficiency in Microsoft Excel for operational tracking and reporting purposes.

This full-time position is based in Jeddah, Makkah, Saudi Arabia. The successful candidate will operate within a dynamic environment that values professionalism, efficiency, and a strong focus on customer service.
