About the Role

ARK Projects is seeking an HR and Administration Officer / Executive Assistant to join their team in Makkah, with operations spanning Jeddah and Makkah. This full-time role supports the day-to-day HR, administrative, government relations, and executive support functions within the company. The position requires 2-5 years of relevant experience.

Role Purpose

The primary purpose of this role is to maintain employee records, coordinate HR processes, support recruitment and employee relations, manage government platforms, and provide confidential administrative support to senior management. The individual will ensure compliance with Saudi Labour Law and contribute to a positive workplace culture.

Key Responsibilities

  • Manage daily HR administration, including employee records, contracts, personnel files, and HR documentation.
  • Support recruitment, onboarding, employee transfers, leave, attendance, payroll coordination, and employee offboarding processes.
  • Handle employee-related transactions through Saudi government platforms such as Qiwa, Mudad, Muqeem, GOSI, HRSD, Ajeer, MOFA, Saudi Council of Engineers, and Chamber of Commerce.
  • Monitor employee documentation, including Iqama, work permits, passports, contracts, and insurance expiries.
  • Support compliance with Saudization/Nitaqat, WPS, GOSI, medical insurance, and Saudi Labour Law.
  • Assist with employee relations, HR correspondence, disciplinary documentation, HR reports, and policy implementation.
  • Coordinate with government authorities, banks, insurance providers, recruitment agencies, and other external stakeholders.
  • Provide confidential executive and personal assistance to Executive Management, including calendar management, travel arrangements, and correspondence.
  • Prepare reports, letters, presentations, and meeting minutes as required by management.
  • Maintain confidentiality of employee, management, and company information.
  • Support the development, implementation, and continuous improvement of internal HR policies and procedures.
  • Promote a positive workplace culture through clear communication and employee engagement initiatives.
  • Support performance management activities, including coordination of performance reviews.

Qualifications and Experience

  • A minimum of 2-5 years of experience in HR and administrative support roles.
  • Demonstrated experience with Saudi government platforms and compliance requirements.
  • Proficiency in managing HR documentation and processes.
  • Strong organizational and communication skills.
  • Ability to handle confidential information with discretion.

Work Environment

This is a full-time position based in Makkah, with responsibilities covering operations in both Jeddah and Makkah. The role involves working closely with senior management and various external stakeholders.
