About the Opportunity

Rotana Hotels is seeking a Receiving Agent to join our team in Al Khobar, Eastern region. This full-time position requires 2-5 years of relevant experience and focuses on ensuring efficient and compliant receiving operations within the hotel environment.

Role Summary

The Receiving Agent is responsible for managing the hotel's receiving function, ensuring all incoming goods are processed in a timely, smooth, and efficient manner. This role is critical in verifying that all procured items meet quality standards and adhere to established hotel policies, procedures, and operational guidelines.

Key Responsibilities

Ensure all items received at the Hotel conform with the Local Purchase Order (LPO), Hotel Policies, and Hygiene Standards. Prior to receiving, goods must be physically inspected for count, weight, and other visually identifiable product specifications.
Ensure inspected goods are delivered to the relevant department and necessary acknowledgements are obtained from the Department Head or representative.
Review supplier invoices to ensure they are original with a copy, numbered, itemised with a clear description, and free from clerical errors. Acknowledge satisfactory delivery with the Hotel Seal and signature.
Ensure supplier invoices are processed in FBM as per standards and in a timely manner.
Review and process the Deviations Report and Outstanding Order Report as per Hotel Standards.
Review Outgoing Records (OR) on a weekly basis for serial control and completeness.
Identify outstanding ORs and highlight them to Department Heads in the Outstanding Outgoing Record Report as per Hotel Standards.
Develop and maintain manual and computer filing systems, ensuring files are properly named, catalogued, and access is restricted to authorised persons.

Operational Standards and Compliance

Operate in a safe and environmentally friendly way to protect guests’ and employees’ health and safety, as well as protect and conserve the environment.
Comply with the hotel's environmental, health, and safety policies and procedures.

Candidate Profile

We are seeking a professional with 2-5 years of experience in a receiving, inventory management, or similar operational role. The ideal candidate will demonstrate meticulous attention to detail, strong organizational skills, and a commitment to upholding operational and quality standards.
