About the Role

KBR Saudi Arabia is expanding its Project Management Office Consultancy (PMO) team for a high-profile infrastructure development in Riyadh, KSA. We are seeking a Furniture Fixtures and Equipment (FF&E) Coordinator to join this team. This full-time role will be based in the Client’s offices in Riyadh. The FF&E Coordinator is responsible for providing design management for numerous Project Management Consultants (PMCs), contractors, and design consultants, encompassing requirements for FF&E, material boards, samples, finishes, and palettes. The position also involves oversight of vendor management, procurement, logistics, and site management for installations.

Key Responsibilities

  • Coordinate FF&E, artwork, décor, and bespoke product packages from concept to final delivery.
  • Assist the Client in developing custom product concepts.
  • Coordinate with PMCs, contractors, and designers for the preparation of material, finish, and product specifications.
  • Collaborate with PMCs, contractors, and designers on the development of mood boards, presentations, and product selection sheets.
  • Coordinate with PMCs and designers for samples, prototypes, finishes, and Client approvals.
  • Review Bills of Quantities (BOQs), specifications, drawings, and design requirements for compliance.
  • Liaise with the Client, PMCs, design consultants, suppliers, and manufacturers to confirm consistency and compliance.
  • Monitor PMC and contractor procurement trackers to ensure deliveries support key dates for asset occupancy.
  • Support PMCs and contractors for site coordination, installation, and final handover of assets.
  • Coordinate with the End-user for acceptance regimes, concluding with the transfer of furnished assets.
  • Verify readiness for acceptance and start-up activities.
  • Ensure punch list identification and closure processes for FF&E are effectively managed.
  • Coordinate turnover packages and handover documentation.
  • Facilitate Final Acceptance and project close-out activities.
  • Serve as the focal point between Engineering, Construction, Commissioning, Operations, Vendors, and Client representatives throughout project execution.

Project Execution and Coordination

  • Develop and implement furnishing strategies, execution plans, procedures, and schedules.
  • Coordinate multidisciplinary installation and acceptance activities to ensure seamless furniture, fixture, and equipment integration.
  • Coordinate among numerous PMCs and contractor personnel to achieve installation and acceptance targets and project milestones safely and efficiently.
  • Interface with Engineering, Construction, QA/QC, Operations, HSE, Vendors, and Client teams.
  • Participate in installation, commissioning meetings, readiness reviews, and management progress sessions.
  • Interface with package vendors during manufacture, shipping, temporary storage, and installation activities.
  • Resolve technical issues impacting commissioning and acceptance schedules.
  • Manage acceptance inspection activities with Client, PMCs, and contractors.
  • Review and verify FF&E completion dossiers and ensure timely closure of punch items and deficiencies.

Quality and Safety Compliance

  • Ensure all installation activities comply with project HSE requirements and company procedures.
  • Lead installation risk assessments, operations reviews, and Job Safety Analysis (JSA) activities.
  • Ensure proper implementation of Permit-to-Work (PTW) systems and promote a strong safety culture.
  • Participate in incident investigations and implementation of corrective actions.
  • Verify compliance with project specifications, installation procedures, and industry standards.
  • Review fabrication records, installation reports, and completion documentation.
  • Support quality audits and Client inspections, ensuring accurate as-built and turnover records are maintained.

Required Qualifications

  • Minimum of 5-10 years of experience in the design, management of procurement and logistics, and installation of furniture, fixtures, and equipment.
  • Proficiency in design software such as Autodesk Revit, AutoCAD, BIM, Trimble SketchUp, or similar.
  • Strong command of Microsoft Office software.
  • Proven experience in:
    • Design Support
    • Schedule & Specifications
    • Vendor Management
    • Logistics and supply chain management
    • Site coordination for installations

Work Environment

This is a full-time position with KBR Saudi Arabia, based in the Client’s offices in Riyadh, KSA. The role operates within a Project Management Office Consultancy (PMO) team dedicated to a high-profile infrastructure development project.
