The Role of Pharmacy Stock Controller

My Clinic KSA is seeking a Pharmacy Stock Controller to join its team in Jeddah, Makkah, Saudi Arabia. This full-time role is critical for ensuring that all inventory control processes adhere to healthcare industry best practices and regulatory requirements. The Stock Controller will maintain accurate and efficient recording within the ERP system, track stock movements, monitor usage, and conduct regular reconciliations and audits to uphold data accuracy. The position also involves maintaining accurate warehouse and/or related sub-stores inventory and ensuring proper organization.

Key Responsibilities

• Monitor and maintain optimal stock levels for medical and non-medical supplies, equipment, and consumables.
• Receive and distribute all incoming and outgoing deliveries promptly, adhering to Clinic standards, policies, and procedures.
• Review requisitions for stock items from end-users as needed.
• Verify the quantity, quality, and condition of received goods against purchase order specifications and end-user requirements.
• Submit invoices and Goods Received Note (GRN) documents to finance in a timely manner, ensuring they are scanned and copied to the SCM Share Folder.
• Participate in daily cycle count activities and periodical stock takes conducted by finance.
• Check fridge and room temperatures, and perform other assigned daily activities.
• Implement and maintain efficient inventory control procedures, including stock rotation, First-In-First-Out (FIFO) principles, and proper storage practices.
• Conduct regular inventory audits to ensure accuracy and reconcile discrepancies.
• Implement systems for proper categorization, storage, and retrieval of items.
• Accurately enter and update information related to stock levels, item descriptions, and other relevant data into the ERP system, ensuring alignment with established coding and categorization standards.
• Ensure all received goods meet quality standards and specifications, collaborating with relevant departments to address quality or safety concerns.
• Record details of received goods, including quantities, condition, and any discrepancies, in the ERP system, and collaborate with the quality assurance team to update the system with inspection and acceptance information.
• Maintain effective communication with various departments to understand needs and address concerns, coordinating with receiving, storage, and distribution teams to streamline stock-related processes.
• Oversee stock storage processes, including tagging, boxing, and labeling.
• Utilize inventory management software to analyze usage patterns and forecast future needs.
• Generate reports on stock levels, consumption rates, and other relevant metrics for management review.
• Identify and address issues such as overstocking, stockouts, and slow-moving items.
• Identify and mitigate risks associated with stock management, such as the expiration of medical supplies, and develop and implement contingency plans for emergencies or supply chain disruptions.
• Perform other professional duties as assigned.

Qualifications and Experience

• A minimum of 5-10 years of relevant experience in stock control or inventory management, preferably within the healthcare industry.
• Demonstrated understanding of healthcare industry best practices and regulatory requirements related to inventory.
• Proficiency in using ERP systems for inventory management.
• Strong organizational skills and attention to detail for accurate record-keeping and stock management.
• Ability to implement and maintain efficient inventory control procedures.
• Effective communication skills for coordinating with various departments and teams.

Work Type and Location

This is a full-time position based in Jeddah, Makkah, Saudi Arabia. The role requires on-site presence to manage pharmacy stock operations effectively.
