About the Opportunity

Fakeeh Care Group is seeking a dedicated Property and Inventory Control Officer / Senior Officer to join its Shared Services team. This full-time position is based in Jeddah, Makkah, Saudi Arabia, and is open to candidates with 0-1 years of experience in a relevant field. The role is central to ensuring the accurate and compliant management of fixed assets across designated Fakeeh Care functions and entities.

Core Function

The primary purpose of this role is to oversee the complete lifecycle of fixed assets, from their initial receipt and registration through to transfer and eventual disposal. The Officer / Senior Officer is responsible for maintaining precise documentation, facilitating timely processing of asset movements, and ensuring strict adherence to Fakeeh Care policies and all applicable regulatory requirements. This involves a proactive approach to monitoring asset movements and maintaining comprehensive records.

Key Duties and Responsibilities

• Communicate daily with the Purchasing Department to track new purchase orders (POs) and follow up on any missing documents.
• Perform a three-way check on received items, verifying consistency across the purchase order, invoice, and physical goods for price, description, and quantity.
• Ensure accurate completion of receiving forms, securing the custodian's signature for all required information.
• Coordinate with the Biomedical department to obtain signed acceptance forms for relevant items.
• Prepare and maintain an Excel file detailing received items by PO, GRN, supplier, barcode, department, date, and location, saving monthly to the shared folder.
• Generate Goods Receipt Notes (GRNs), distribute copies to Purchasing and Accounts Payable, and obtain necessary departmental signatures.
• Register itemized GRNs in Oracle's Mass Addition module upon posting, assigning appropriate category, sub-category, cost center, location, and custodian.
• Monitor Capital Work in Progress (CIP) transactions to ensure timely receiving and capitalization once assets are in use.
• Verify all incoming transfer and disposal requests, ensuring items match descriptions and barcodes.
• Review transfer forms, coordinate asset transfers, assign new custodians, and update the system accordingly.
• Prepare summary reports for management regarding all asset transfers and disposals.
• Ensure submission of technical assessment reports for each disposal item, signed by the relevant Manager/Director.
• Engage with scrap buyers, obtain a minimum of three quotations, submit them to the Scrap Committee, coordinate payment, and supervise item removal.
• Maintain the organized state of the Property Control stockroom and serve as the custodian for the Scrap Cage.
• Investigate and report any damage to fixed assets not attributable to normal wear and tear to the line manager.
• Assist in physical inventory counts and participate in other assigned projects within the scope of the job.

Required Experience

• 0-1 years of experience in property control, inventory management, or a related administrative field.
