Role Overview

The Senior Specialist, Fleet Management will be responsible for the effective management and control of fleet operations. This includes ensuring optimal vehicle utilization, adherence to safety standards, cost control, and reliable service delivery across all field operations. The role supports continuous transportation services through proactive maintenance planning, system management, vendor coordination, performance monitoring, and ongoing improvement of fleet efficiency.

Key Responsibilities

• Oversee general fleet operations to ensure optimal vehicle availability, utilization, and efficiency, including daily vehicle allocation, scheduling, and usage.
• Manage vehicle repair and maintenance activities, ensuring timely completion and quality standards, and plan preventive maintenance programs.
• Conduct regular in-person vehicle inspections to verify roadworthiness and ensure full compliance with safety, legal, and regulatory requirements.
• Maintain accurate daily, weekly, monthly, quarterly, and annual fleet reports, and prepare ad hoc reports and data analysis for management.
• Develop, implement, and monitor fleet KPIs such as downtime, cost per kilometer, fuel efficiency, and availability.
• Coordinate with fleet service providers and suppliers for maintenance, repairs, and related services, including reviewing technical proposals, quotations, and validating invoices.
• Supervise driver and JMS Team performance, including roster planning, policy compliance, and implementing corrective actions.
• Monitor and respond to Blue Key Users events, such as seat belt violations or speeding, and formally notify respective line managers.
• Manage trip requests, permanent vehicle assignments, and pool service scheduling, ensuring efficient allocation and control of pool service vehicles.
• Ensure effective TAMM system management, including vehicle registration, and maintain up-to-date vehicle documentation.
• Monitor fuel consumption patterns, identify variances, implement control measures, manage driver petty cash, and approve operational expenses.
• Coordinate with the Inventory Team to ensure adequate availability of fleet-related spare parts and consumables.
• Manage accident-related processes, including insurance claims, documentation, and repair follow-up until vehicle return to service.
• Review petty cash invoices related to vehicles and supporting documents before submission to the Reporting Team.
• Raise purchase requisitions for fleet-related assets, items, and services, and drive initiatives to reduce operating costs and improve efficiency.

Qualifications and Experience

• 8-10 years of experience in fleet management or a related field.
• Demonstrated ability to manage and control fleet operations effectively.
• Experience in maintenance planning, vendor coordination, and performance monitoring.
