About Tahaluf and the Project Manager Activations Role

Tahaluf, the largest B2B live and on-demand events organiser in Saudi Arabia, is seeking a Project Manager Activations to join its team in Riyadh. This full-time role is central to delivering large-scale events and requires 5-10 years of relevant experience. Tahaluf operates as a joint venture between Informa PLC, the Saudi Federation for Cybersecurity, Programming and Drones (SAFCSP), and the Events Investment Fund (EIF), focusing on impactful events such as LEAP, Cityscape, Black Hat MEA, and CPHI Middle East.

Role Overview and Key Focus Areas

The Project Manager Activations will play a pivotal role in the successful delivery of events. This position is suited for individuals with a strong background in project management within dynamic environments. Ideal candidates will have experience in Esports or live gaming events, defence and/or aviation events, or managing hackathons, CTF competitions, or similar activations.

Core Responsibilities

  • Coordinate project management systems, procedures, and processes to ensure inter-departmental timelines and deadlines are met.
  • Evaluate and align processes to improve overall delivery and approval workflows.
  • Conduct continuous risk assessments, including milestone alignment, resourcing considerations, and contingency planning.
  • Manage stakeholder interactions across internal teams and external partners, ensuring clear communication and reporting to all levels, including VIPs and senior stakeholders.
  • Oversee custom event delivery in collaboration with the Special Projects team, Marketing Manager, and Event Manager.
  • Direct onsite staff and team members to ensure successful event execution.
  • Manage non-department-tied deliverables such as badging and merchandise rollout.
  • Support marketing, programming, and operations elements of event delivery, serving as the primary point of contact for custom projects.
  • Manage the collation of speakers’ assets from confirmation through to final delivery of presentations and content at the event.
  • Ensure smooth execution of event production and logistics to achieve business goals.
  • Manage speaker logistics leading up to events, as required.
  • Track post-event milestones, conduct evaluations to assess success metrics, and gather feedback.
  • Prepare final reports summarizing achievements, lessons learned, and recommendations for future events.
  • Manage minutes, task reporting, tracking, and monitoring for meetings.

Required Qualifications

  • Educated to degree level or equivalent.
  • Significant experience in a Project Management role supporting mid-to-large scale trade exhibitions, conferences, sports events, or FMCG launches and events.
  • Demonstrated ability to manage multiple projects and deliverables across different stages of the project life cycle.
  • Exposure to evaluating and managing inter-departmental processes and milestones.

Essential Skills and Attributes

  • Proficiency in MS Office/Office 365 suite of software, Smart Sheets, and Airtable.
  • Fluent in both spoken and written English and Arabic, capable of clear communication with individuals and groups.
  • Strong interpersonal and customer-facing skills, coupled with cultural awareness and sensitivity.
  • Proactive, self-motivated, and capable of effective risk management and mitigation planning.
