The Role: Senior Document Controller

Astek Middle East is seeking a Senior Document Controller to join their team in Riyadh, Saudi Arabia. This full-time role involves managing, organizing, and maintaining project documentation and records for energy efficiency, sustainability, construction, and infrastructure projects across Saudi Arabia. The Senior Document Controller will ensure that all project documents are accurately captured, reviewed, tracked, distributed, and archived throughout the project lifecycle, working closely with project managers, engineers, consultants, contractors, and PMO teams to maintain effective document control processes.

Key Responsibilities

  • Manage the receipt, distribution, filing, tracking, and archiving of project documentation, including drawings, specifications, contracts, correspondence, reports, and technical documents.
  • Maintain accurate and up-to-date document registers and tracking systems.
  • Ensure documents are correctly numbered, version-controlled, and stored in accordance with established project procedures.
  • Coordinate document transmittals between internal teams, contractors, consultants, and other project stakeholders.
  • Ensure timely processing and distribution of incoming and outgoing documentation.
  • Review documents for completeness, accuracy, and compliance with document control procedures before distribution.
  • Monitor document status, revisions, submissions, and approvals, and follow up on outstanding or overdue documents.
  • Prepare document status reports and provide regular updates to project management and relevant stakeholders.
  • Manage electronic document management systems (EDMS), including document access, permissions, and records security.
  • Support project closeout and handover activities, including the preparation and organization of final documentation and as-built packages.
  • Maintain proper records and ensure documents are readily retrievable throughout the project lifecycle.
  • Support continuous improvement of document control procedures and workflows.

Qualifications and Experience

  • A minimum of 3 years of relevant experience in document control. Candidates with significantly more experience who meet the technical and qualification requirements are also encouraged to apply.
  • Demonstrated ability to manage large volumes of project documentation while maintaining accuracy and consistency.
  • Highly organized and detail-oriented approach to work.
  • Experience with electronic document management systems (EDMS) is required.
