About the Executive Assistant Role

Carly is an e-commerce platform focused on simplifying the online car buying and selling process. The company is developing a comprehensive super app that integrates vehicles, services, and digital experiences. This full-time, on-site Executive Assistant position is based in Riyadh and will provide essential administrative support to senior leadership within a fast-growing, tech-driven environment.

Role Overview and Responsibilities

The Executive Assistant will manage a wide range of administrative tasks to ensure the efficient operation of executive functions. This includes comprehensive calendar management, scheduling meetings, coordinating travel arrangements, and preparing expense reports. The role also involves supporting senior leadership with the preparation of documents and presentation materials, as well as following up on key action items. Day-to-day duties will encompass managing correspondence, organizing files, arranging internal and external meetings, and facilitating smooth communication across teams. A key aspect of this role is handling confidential information with discretion and proactively identifying opportunities to enhance administrative processes and executive support.

Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings and appointments.
  • Coordinate domestic and international travel arrangements.
  • Prepare and process expense reports with accuracy.
  • Assist in the preparation of documents, reports, and presentation materials.
  • Handle incoming and outgoing correspondence and communications.
  • Organize and maintain physical and digital filing systems.
  • Arrange and coordinate internal and external meetings.
  • Follow up on action items and ensure timely completion of tasks.
  • Handle confidential information with the utmost discretion.
  • Proactively identify and implement improvements to administrative processes.

Required Qualifications and Experience

  • Demonstrated strong skills in executive and general administrative assistance, including calendar management and meeting coordination.
  • Proven experience in executive support, including presentation preparation, priority management, and handling confidential information.
  • Ability to accurately prepare, track, and reconcile expense reports.
  • Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders.
  • Proficiency in standard office productivity tools (email, calendars, spreadsheets, presentation software) and a willingness to learn new systems.
  • Strong organizational and time-management abilities, with the capacity to multitask and meet deadlines in a dynamic environment.
  • A proactive problem-solving approach, high level of reliability, and a professional demeanor.
  • Previous experience as an Executive Assistant or in a similar administrative support role is required.
  • Experience within tech or e-commerce environments is considered an advantage.
  • A relevant diploma or bachelor’s degree in Business Administration, Management, or a related field is preferred.

Work Environment and Location

This is a full-time, on-site position located in Riyadh. The role requires comfort working in a collaborative setting and supporting cross-functional teams.
