The Role: HR & Admin Associate

IP Excellera is seeking a motivated and detail-oriented HR & Admin Associate to join its growing team in Riyadh. This full-time position is designed for individuals with 0-1 years of experience who are ready to support the day-to-day HR and administrative operations of the business. The successful candidate will ensure processes run smoothly while providing essential support to employees and the wider team.

Key Responsibilities

  • Support the recruitment process, including scheduling interviews and coordinating with candidates.
  • Prepare job offers and employment contracts.
  • Assist with onboarding and offboarding activities, ensuring all documentation is completed.
  • Manage medical insurance enrolment and renewals.
  • Ensure compliance with company policies and maintain accurate employee records and HR documentation.
  • Support payroll preparation and respond to employee queries related to HR policies and administrative matters.
  • Assist with visa, iqama, and other employee-related documentation as required.
  • Organize corporate events, internal projects, meetings, and travel arrangements.
  • Coordinate and manage office administration activities, including office supplies, maintenance, vendor communication, calendar management, meeting coordination, and workflow organization to ensure smooth daily office operations.
  • Assist with company licenses, registrations, and other compliance-related documentation.
  • Ensure HR and administrative records are maintained accurately and confidentially.
  • Support the implementation of HR policies, procedures, and employee engagement initiatives.
  • Support banking-related administrative activities, including preparing required documentation and coordinating with banking representatives.
  • Liaise with the Company’s legal and corporate service provider to coordinate corporate, regulatory, and government-related services, manage required documentation, and support other legal and administrative matters.
  • Support vendor registrations and proposal submissions, ensuring accuracy and adherence to client deadlines.
  • Perform other HR and administrative duties as assigned.

Required Qualifications and Experience

  • 0-1 years of professional experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
