Job Summary

The Senior Specialist Purchasing will execute purchasing activities for electrical systems and building and finishing materials. This full-time role, based in Makkah or Jeddah, involves defining operational requirements, sourcing, negotiating, ordering, and ensuring timely delivery. The specialist will support supplier and contract management, market and demand analysis, SAP material creation, purchase order follow-up, discrepancy resolution, accurate documentation, policy compliance, and timely reporting to meet cost, quality, and service objectives.

Key Responsibilities

• Manage and execute purchasing strategies.
• Track and report key functional metrics to reduce expenses and improve effectiveness.
• Partner with stakeholders to ensure clear requirements documentation.
• Forecast price and market trends to identify changes in buyer-supplier power.
• Seek and partner with reliable vendors and suppliers.
• Monitor and forecast upcoming levels of demand.
• Communicate with hotel and operator engineering teams for technical request aspects.
• Establish contracts to ensure negotiated prices for all operating items required for hotels.
• Ensure that all order receiving dates are updated by buyers according to supplier delivery dates.
• Ensure that all authorized or approved purchase orders are sent to respective suppliers/vendors daily.
• Ensure and verify that quotations are regularly updated and supplier current price lists are maintained.
• Research and identify new products and services for hotels in the market.
• Check, explain if needed, and approve delivered items discrepancy reports issued by cost control regarding price and quantity order variances.
• Perform material creation on SAP, ensuring correct material details (Description, UOM, Sizing, Brand, and COO).
• Verify the 'pending orders' report daily, ensuring all pending orders are checked and verified regularly.
• Identify items for standing orders utilizing vendor logistics for regular deliveries to hotels based on approved highly consumed items.
• Ensure validity of available items, force issue obsolete items, and follow up on disposal actions.
• Verify that all documentation and proper quotations are maintained and filed according to Policy and Procedure requirements.
• Ensure the efficient operation of the Purchasing Department in all aspects.
• Submit reports in a timely manner, ensuring delivery deadlines.

Qualifications and Experience

• Minimum of 3 years of experience in the procurement of Electrical Systems or Building and Finishing Materials for construction projects.
• Experience range: 2-5 years.

Work Environment

This is a full-time position located in the Makkah region, with operations in Jeddah and Makkah. The role may require a flexible schedule to accomplish all major responsibilities and tasks.
