We are seeking a highly organized and professional Executive Secretary to manage the daily operations of the executive office. In this role, you will support the Executive Director while ensuring smooth communication and coordination within the team.

Responsibilities:
  • Manage the executive director’s schedule, organize meetings and calls.
  • Prepare reports, correspondence, and presentations professionally.
  • Follow up on decisions and instructions from the executive director.
  • Receive visitors and telephone calls, responding to correspondence politely.
  • Organize and maintain administrative and confidential files and records.
  • Coordinate travel bookings and accommodations for executives.
  • Oversee the execution of administrative projects and provide logistical support.
  • Document meeting minutes and follow up on action items.
  • Manage office supplies and procurement related to administrative tasks.

Required Skills and Qualifications:
  • Fluency in English (reading, writing, and speaking).
  • Strong organizational skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Ability to work under pressure and meet deadlines.
  • Professional demeanor with strong interpersonal skills.
  • Analytical skills and the ability to prepare precise reports.

Educational Qualifications and Experience:
  • Diploma or Bachelor’s degree in Business Administration or related field.
  • Minimum of 1 year of experience in a similar role.
  • Professional certifications in office management or executive secretarial services are preferred.
