The Role of Leasing Specialist

The Leasing Specialist is responsible for generating and converting leads for coworking and flexible workspace solutions. This full-time role involves managing the complete leasing cycle for various offerings, including private offices, dedicated desks, hot desks, meeting rooms, virtual offices, and event spaces. The specialist will contribute to achieving occupancy, revenue, and customer satisfaction targets.

Key Responsibilities

• Respond promptly to leasing inquiries received via phone, WhatsApp, email, walk-ins, and online platforms.
• Conduct professional tours and presentations of coworking spaces to potential clients.
• Understand client requirements and recommend suitable workspace solutions based on business needs, team size, budget, and duration.
• Prepare accurate and timely quotations, proposals, lease agreements, membership agreements, and other leasing documentation.
• Follow up consistently with prospects and negotiate within approved commercial guidelines to convert inquiries into signed agreements.
• Achieve assigned monthly leasing, occupancy, conversion, and revenue targets.
• Maintain an accurate and updated database of leads, prospects, clients, follow-up activities, contracts, and leasing status.
• Coordinate with management on space availability, pricing, promotions, discounts, and leasing strategies.
• Manage the reception area and professionally welcome clients, visitors, and prospective tenants.
• Handle incoming calls, emails, correspondence, and general customer inquiries professionally and promptly.
• Coordinate meeting room bookings, workspace reservations, and related client requirements.
• Support existing tenants and members with daily requests to maintain a high level of customer satisfaction.
• Assist with tenant onboarding, move-ins, contract renewals, expansions, and move-outs.
• Maintain accurate records of occupancy, contracts, payments, renewals, and client information.
• Promote and upsell additional services such as meeting rooms, virtual offices, and event spaces.
• Monitor the presentation and operational readiness of the coworking space and promptly report maintenance or operational issues.
• Support administrative and operational tasks as required by management.
