About the Role

Guardian Industries is seeking an Admin Assistant to join its team in Al Jubail. This full-time position offers an opportunity to provide essential operational and administrative support within the company's site operations. The role focuses on key areas including employee administration, government relations, accommodation, welfare, contractor management, and team development.

Key Responsibilities

The Admin Assistant will be responsible for a range of administrative and support functions. This includes:

  • Managing the issuance, renewal, correction, and associated fines for iqama, visas, and work permits.
  • Providing daily employee administrative services, including record management and support for onboarding and offboarding processes.
  • Coordinating employee travel arrangements, such as air tickets and hotel bookings, and issuing visitor invitations and permits.
  • Executing necessary transactions with government entities, including GOSI, the Labor Office, Passports, Civil Defense, and the municipality.
  • Ensuring compliance with regulatory requirements and labor laws, and supporting government inspections and audits.
  • Acting as a liaison with authorities during incidents, investigations, or inquiries.
  • Overseeing labor camp contracts, monitoring service quality, and managing employee welfare initiatives.
  • Handling disciplinary cases and advising supervisors on corrective actions and documentation.
  • Administering contractor activities, including attendance tracking, payroll coordination, and ensuring safety and contract compliance.
  • Supervising the work of drivers, security staff, and government-relations representatives.

Team Development and Process Improvement

In addition to direct administrative tasks, this role involves developing the administrative team. Responsibilities include training, coaching, and monitoring performance, providing constructive feedback. The Admin Assistant will also promote PBM principles and drive continuous improvement within administrative processes.

Qualifications and Experience

Candidates should possess the following qualifications:

  • A Diploma or Bachelor’s degree in Business Administration, Human Resources, Public Administration, or a related field is preferred.
  • Experience in administration, government relations, or employee services is required, with a preference for experience within an industrial or manufacturing environment in Saudi Arabia.
  • Proficiency in MS Office is essential.
  • Familiarity with Saudi government systems and processes, including GOSI, the Labor Office, Passports, and Civil Defense, is necessary.

Required Skills and Competencies

Successful candidates will demonstrate:

  • The ability to manage multiple priorities effectively while maintaining accuracy and confidentiality.
  • Strong communication skills, enabling effective interaction with diverse stakeholders.
  • Fluency in both English and Arabic is required.
