About the Manager Project Administration Role

NSH Saudi is seeking a Manager Project Administration to join its team in Al Jubail, Eastern, Saudi Arabia. This full-time position involves overseeing comprehensive project administration functions for large-scale Oil & Gas EPC projects, ensuring efficient operations throughout the project lifecycle.

Role Purpose and Scope

The primary purpose of this role is to manage all project administration activities at the project site. The Manager Project Administration will be responsible for ensuring efficient administrative operations, robust document control, effective manpower coordination, and strict compliance with regulations and policies. This role provides essential support to the project management team.

Key Responsibilities

  • Manage all project administration activities at the project site.
  • Coordinate with Project Managers, Construction Managers, and department heads to ensure smooth project execution.
  • Supervise administrative staff, document controllers, timekeepers, and camp administration personnel.
  • Ensure proper management of project documentation, correspondence, reports, and records.
  • Coordinate employee mobilization, onboarding, accommodation, transportation, and site logistics.
  • Monitor manpower records, attendance, leave schedules, and timesheets.
  • Liaise with HR, Procurement, Finance, and Client representatives on administrative matters.
  • Ensure compliance with company policies, client requirements, and Saudi labor regulations.
  • Prepare weekly and monthly administrative reports for project management.
  • Support audits, inspections, and project close-out documentation.
  • Maintain confidentiality of project and personnel information.

Required Qualifications and Experience

  • Bachelor's Degree in Business Administration, Management, or a related discipline.
  • A minimum of 10+ years of experience in project administration within Oil & Gas EPC projects.
  • Minimum 5 years of experience in the Gulf region or Saudi Arabia is preferred.

Essential Skills and Knowledge

  • Strong knowledge of project administration, manpower coordination, document management, and site operations.
  • Experience working with multinational project teams.
  • Excellent communication, leadership, and organizational skills.
  • Proficiency in Microsoft Office and ERP/document management systems.
  • Ability to manage multiple priorities effectively in a fast-paced project environment.

Preferred Experience and Attributes

  • Experience in projects with major Oil & Gas EPC clients such as Aramco, SABIC, or ADNOC.
  • Familiarity with Saudi labor regulations and project mobilization processes.
