PMO Specialist

About the Role

alfanar Group is seeking a PMO Specialist to join their team in Riyadh. This full-time role involves providing project management support through effective monitoring, reporting, governance, documentation, and stakeholder coordination. The specialist will ensure projects are delivered in line with established PMO standards and requirements. The position requires 2-5 years of relevant experience.

Key Responsibilities

• Support Project Managers in preparing, maintaining, and submitting project management documentation according to PMO standards.
• Maintain and update project information, status reports, and records within approved reporting tools and Project Management Information Systems (PMIS).
• Assist Project Managers in preparing and documenting minutes of meetings with leadership, business stakeholders, and other parties.
• Maintain action trackers and follow up with responsible stakeholders to ensure timely completion of agreed actions.
• Support Project Managers in identifying, monitoring, and following up on project risks, issues, and mitigation actions.
• Monitor the status and progress of assigned projects and coordinate with Project Managers to support timely delivery and adherence to PMO requirements.
• Support Project Managers in ensuring applicable projects comply with PMO governance requirements, including stage-gate processes, approvals, and documentation.
• Support the organization, maintenance, and archiving of project documentation upon completion of project phases or closure.
• Ensure project records are maintained according to approved folder structures, naming conventions, document control, version control, and retention requirements.
• Manage assigned low-complexity projects or initiatives from initiation through closure, with guidance from the Project Manager.
• Ensure assigned projects are delivered in accordance with agreed scope, timelines, deliverables, and governance requirements.
• Coordinate and collaborate with Project Managers, business stakeholders, and other relevant parties to facilitate effective project communication and execution.
• Support cross-functional coordination and follow-up activities as directed by the PMO Manager or Project Manager.

Role Accountabilities

• Delivery: Perform planned activities to meet operational and development targets, utilizing resources effectively within cost and time constraints. Provide periodic reports detailing deviations and execution of planned tasks.
• Problem-Solving: Address related problems that arise and escalate complex operational issues as needed.
• Quality: Ensure quality requirements are met to develop effective quality control and processes, including specifications for products or activities.
• Business Process Improvement: Coordinate well-defined written systems, policies, and procedures, seeking automation opportunities where possible.
• Compliance: Adhere to relevant policies, procedures, and work instructions.
• Health, Safety, and Environment: Ensure compliance with relevant safety, quality, and environmental management procedures and controls within the defined work area.

Experience Required

Candidates should have 2-5 years of experience in a relevant field.

This is a full-time position based in Riyadh.
