About the Role

Dallah Healthcare is seeking a dedicated and organized Medical Secretary to provide essential administrative and secretarial support to its Nursing Department. This full-time position requires a professional with 2-5 years of experience in a similar role, contributing to the efficient operation of departmental functions.

Role Purpose

The Medical Secretary serves as a key support for the Nursing Department, managing a range of medical and administrative tasks. This role is central to facilitating communication, organizing departmental activities, and ensuring compliance with established policies and standards within a dynamic healthcare environment.

Key Responsibilities

  • Screen telephone calls and inquiries, ensuring appropriate handling and redirection.
  • Prepare and type memos, letters, duty rotas, and other departmental correspondence.
  • Manage and process work-related requests from department staff, including material requests, vacation leave, and overtime.
  • Organize and attend departmental committee meetings, including accurate minute-taking and distribution.
  • Transcribe medical reports and discharge summaries as needed.
  • File documents in sequence and maintain existing electronic and physical filing systems for correspondence.
  • Manage and update personal data records for medical staff within the department.
  • Prepare visual aids for presentations, such as continuing medical education programs and symposiums, using Microsoft PowerPoint and various graphic programs.
  • Develop and coordinate the Quality Improvement Program within designated areas of responsibility.
  • Ensure full awareness and active implementation of departmental policies and procedures, as well as relevant national and international standards.
  • Actively participate in indicator development and data collection to measure departmental performance.
  • Conduct analysis and interpretation of collected data and information when required.
  • Participate in hospital Safety Management and Risk Management Programs.
  • Report incidents actively within the system and contribute to incident review and root cause analysis as needed.
  • Perform any other duties within the range of professional knowledge and skills as directed by the Head of Department.

Qualifications and Experience

  • Education: College Graduate or Bachelor's Degree.
  • Experience: A minimum of two (2) years of experience as a Medical Secretary.

Essential Skills

  • Strong organizational and administrative capabilities.
  • Proficiency in office software, including Microsoft PowerPoint and other graphic programs.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail in record-keeping and document management.
  • Familiarity with medical terminology for transcription and reporting.
