Job Summary:

The Restaurant Receptionist / Host serves as the face of the restaurant, ensuring each guest receives a personalized, memorable, and seamless dining experience. This role combines hospitality excellence with brand representation—welcoming guests warmly, managing reservations and special requests, and promoting the restaurant’s image, values, and signature offerings.

Key Responsibilities:

• Greet all arriving guests with a warm, professional, and courteous demeanor. 

• Accurately manage and organize all dining reservations.

• Implement and manage an effective waitlist system during peak hours. Skillfully manage and control crowds in the reception/waiting area, ensuring guest comfort and adherence to fire safety and capacity regulations.

• Possess a comprehensive understanding of the current menu, daily specials, restaurant promotions, and general operational policies to inform and assist guests accurately.

• Maintain the host station and immediate guest waiting areas (*, entrance lobby) in a neat, organized, and presentable condition at all times.

• Act as the central communication point between the front-of-house management, serving staff, and the kitchen to ensure seating decisions align with service capabilities.

• Meeting Room Management: Oversee scheduling, setup, and management of meeting spaces to optimize usage.
• Administrative & Tenant Support: Serve as the primary contact for tenants regarding building services, aiding with inquiries and requests.
• Complaint Management: Address complaints via various channels, ensuring tenant satisfaction through timely resolutions.
• Cross-Department Coordination: Work with various departments to provide seamless service delivery.
• Reception Procedures: Manage front desk operations, welcoming visitors, and ensuring smooth check-in processes.
• Shipments: Oversee DHL shipments, ensuring accurate records and timely communication with recipients.

# Receptionist

We are looking for a professional Receptionist to be the first point of contact for our company. The ideal candidate will have excellent communication skills, a warm personality, and the ability to multitask efficiently in a fast-paced environment. Responsibilities include greeting visitors, answering and directing phone calls, managing appointments, handling mail, and providing administrative support to ensure smooth office operations.

*First: Communication with patients*

• Responding to patient inquiries (via phone or messages) and providing the necessary medical and financial information.

• Scheduling appointments and following up with patients after the visit to check on them.

• Farewell to patients after the session, ensuring payment is completed, and setting the date for the next visit.

• Monitoring invoices and remaining payments and updating them periodically through an Excel file on Google Drive.

• Tracking and printing Invisalign invoices monthly (at the end of each Gregorian month), after approval, and sending them to the financial manager, while adding them to the designated Excel file.

• Reviewing laboratory invoices monthly (at the end of each Gregorian month) after approval, and sending them to the financial manager.

• Coordinating with “Tabby” and “Tamara” services to facilitate covering costs for patients when needed.

*Third: Therapeutic and administrative coordination*

• Receiving Invisalign molds and organizing delivery and installation appointments for patients.

• Preparing financial acknowledgment forms and discussing payment details with patients, while saving copies electronically in the designated Google Drive file.

• Coordinating the transfer of patients to the relevant doctors when needed and scheduling orthodontic appointments based on the treatment plan.

• Organizing patient entry to the clinic and ensuring smooth workflow, and coordinating an additional clinic when needed.

• Daily content creation (photos and videos) and publishing it on appropriate platforms to enhance engagement.

• In-house marketing through the digital Invisalign screen inside the clinic.

• Encouraging patients to leave positive comments on Google Maps.

• Covering events and recognition cases with photography and documentation with the doctor.

• Sending the instruction booklet in PDF format after the first session of orthodontic treatment and placing attachments.

• Monitoring the receipt of retainer devices from the laboratory and coordinating delivery appointments for patients.

• Directly solving patients' problems and providing full support that reflects care and attention.

• Answer phone calls, greet visitors, and provide information to parents and students.
• Facilitate communication within the School.
• Share information broadly with administrators, teachers, and students’ families through emails, flyers, or phone calls.
• Maintain records such as phone calls, visits, registration, class schedules, and parent contact information.
• Perform clerical work and provide administrative support.
• Arrange meetings, events, and schedules.
