The Role of Purchasing Manager

The Purchasing Manager is responsible for sourcing and procuring all food and non-food items required for the operational needs of the hotel. This full-time role involves market analysis, supplier negotiation, and ensuring timely delivery of goods while adhering to quality and cost standards. The manager will maintain an updated knowledge of market changes and import procedures.

Key Responsibilities

• Monitor market changes, including prices and product availability.
• Manage all importing, purchasing, and receiving procedures.
• Procure food and non-food items, ensuring the best quality and price.
• Conduct ongoing comparisons of quality and prices among suppliers.
• Maintain regular communication with colleagues at other Rixos properties for information exchange.
• Keep a constantly updated filing system with supplier, price, and quantity information.
• Process orders only upon receipt of a duly signed purchase request from the General Manager.
• Obtain a minimum of three quotations for each purchase request.
• Consult with the Executive Chef or other Department Heads regarding quality and quantity.
• Present samples of goods to relevant departments for approval.
• Collaborate with the storekeeper to ensure adequate storage space and adherence to FIFO systems.
• Conduct personal market surveys to stay informed about shortages, price changes, and seasonal conditions.
• Keep management informed about market developments relevant to the business.
• Ensure timely delivery of all necessary goods.
• Adhere strictly to company policy regarding commissions, personal advantages, or gifts from suppliers.
• Submit ideas, alternatives, and new products to management in line with company policy.

Qualifications and Experience

• A minimum of 5-10 years of experience in a purchasing role, preferably within the hospitality sector.
• Demonstrated knowledge of market dynamics, pricing, and product availability.
• Proficiency in import procedures, purchasing dispositions, and receiving protocols.
• Strong negotiation skills with suppliers.
• Ability to maintain accurate and up-to-date records.

Work Environment

This is a full-time position within a hotel that is part of the Accor network. The role requires active engagement with various departments and external suppliers to ensure smooth operations.
