About the Receptionist Role
Eram Talent is seeking a Receptionist for a client position located in Al Khobar. This role serves as the primary point of contact for all visitors, clients, and customers, ensuring a professional and welcoming first impression. The Receptionist is responsible for managing the front desk operations, handling communications, and providing essential administrative support to maintain efficient office functioning.
Key Responsibilities
- Greet and welcome visitors in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls to the appropriate personnel or department.
- Maintain the reception area, ensuring it is organized, tidy, and presentable at all times.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Provide administrative assistance, including filing, data entry, and document preparation.
- Manage incoming and outgoing mail and packages.
- Monitor office supplies inventory and reorder as needed.
- Furnish information to callers and visitors about the organization and its services.
- Enforce security and access control procedures, including issuing visitor badges.
- Support special projects and tasks as directed by office management.
- Collaborate with other administrative staff to ensure smooth office operations.
- Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
- Assist with the planning and coordination of meetings, conferences, and other events.
- Update and maintain internal databases and records, ensuring accuracy and confidentiality.
- Provide basic IT support, including troubleshooting minor technical issues or liaising with IT support.
- Oversee the maintenance of office equipment such as printers, copiers, and fax machines.
- Assist with new employee onboarding processes, including workspace preparation and orientation.
- Liaise with vendors and service providers to ensure timely service delivery.
- Monitor and replenish office supplies, including stationery and kitchen consumables.
- Coordinate with building maintenance for facility-related issues.
- Ensure timely and accurate preparation of relevant reports according to department standards.
Qualifications and Experience
- A Bachelor's degree in Business Administration from a recognized university is required.
- Proficiency in both oral and written English is essential.
- 0-1 year of experience in a similar receptionist or administrative role is preferred.
- Demonstrated experience in managing a front desk reception area.
