About the Receptionist Role

Eram Talent is seeking a Receptionist for a client position located in Al Khobar. This role serves as the primary point of contact for all visitors, clients, and customers, ensuring a professional and welcoming first impression. The Receptionist is responsible for managing the front desk operations, handling communications, and providing essential administrative support to maintain efficient office functioning.

Key Responsibilities

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer, screen, and direct incoming telephone calls to the appropriate personnel or department.
  • Maintain the reception area, ensuring it is organized, tidy, and presentable at all times.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Provide administrative assistance, including filing, data entry, and document preparation.
  • Manage incoming and outgoing mail and packages.
  • Monitor office supplies inventory and reorder as needed.
  • Furnish information to callers and visitors about the organization and its services.
  • Enforce security and access control procedures, including issuing visitor badges.
  • Support special projects and tasks as directed by office management.
  • Collaborate with other administrative staff to ensure smooth office operations.
  • Coordinate travel arrangements for employees, including booking flights, hotels, and transportation.
  • Assist with the planning and coordination of meetings, conferences, and other events.
  • Update and maintain internal databases and records, ensuring accuracy and confidentiality.
  • Provide basic IT support, including troubleshooting minor technical issues or liaising with IT support.
  • Oversee the maintenance of office equipment such as printers, copiers, and fax machines.
  • Assist with new employee onboarding processes, including workspace preparation and orientation.
  • Liaise with vendors and service providers to ensure timely service delivery.
  • Monitor and replenish office supplies, including stationery and kitchen consumables.
  • Coordinate with building maintenance for facility-related issues.
  • Ensure timely and accurate preparation of relevant reports according to department standards.

Qualifications and Experience

  • A Bachelor's degree in Business Administration from a recognized university is required.
  • Proficiency in both oral and written English is essential.
  • 0-1 year of experience in a similar receptionist or administrative role is preferred.
  • Demonstrated experience in managing a front desk reception area.
