Role Overview

The Accommodation Officer is responsible for the daily coordination and oversight of employee accommodation operations. This includes managing assignments, maintaining facilities, and ensuring compliance with company standards and regulatory requirements. The role requires proactive problem-solving and effective coordination with various service providers and internal departments.

Key Responsibilities

• Coordinate and oversee daily operations of employee accommodation facilities.
• Manage employee accommodation assignments, room allocations, occupancy records, and related documentation.
• Administer employee accommodation check-in, transfer, and check-out processes.
• Monitor accommodation occupancy levels and ensure optimal utilization of housing capacity.
• Conduct routine inspections to ensure cleanliness, safety, security, and compliance with company standards.
• Coordinate with Facilities Management, Maintenance, Security, Housekeeping, and other service providers.
• Monitor accommodation maintenance requests and ensure timely completion of activities.
• Ensure compliance with health, safety, environmental, and employee welfare requirements.
• Monitor contractor and service provider performance related to accommodation services.
• Investigate and resolve accommodation-related employee concerns and complaints.
• Maintain accurate records of occupancy, room inventories, inspections, and maintenance activities.
• Prepare periodic reports on accommodation utilization, occupancy status, and service performance.
• Identify operational risks and recommend corrective actions.
• Support budget control initiatives and ensure efficient utilization of resources.
• Coordinate with HR, Operations, and other departments regarding accommodation requirements.
• Escalate significant accommodation, maintenance, safety, security, or welfare issues to management.

General Responsibilities

• Ensure full compliance with company policies, procedures, and applicable regulatory requirements.
• Maintain confidentiality of employee accommodation and transportation records.
• Support emergency response, employee welfare, and evacuation activities when required.
• Recommend continuous improvement initiatives to enhance accommodation and transportation services.
• Perform any other duties assigned by management within the scope of the position.

Qualifications and Experience

Candidates should possess 2-5 years of relevant experience in accommodation management or a similar field. The ability to coordinate multiple tasks, maintain detailed records, and ensure compliance with various standards is essential for this role.
