Procurement Executive

About the Role

AVALON Pharma is seeking a Procurement Executive to join their team in Riyadh. This full-time role involves managing the complete procurement cycle, from initial user department requests through to material receipt and quality release. The ideal candidate will have 0-1 years of experience in a similar field.

Role Purpose

The primary purpose of this role is to oversee the entire procurement process. This includes engaging with various user departments such as Planning, Warehousing, Quality Control, Research & Development, Marketing, Maintenance, and Production. Key responsibilities involve collecting offers, negotiating with suppliers, and coordinating with the finance department to ensure timely material acquisition and payment processing.

Key Responsibilities

• Receive purchase requisitions from user departments and collaborate to define procurement needs, quality, and delivery specifications.
• Collect offers from approved vendors and negotiate with suppliers to achieve optimal terms regarding quality, price, delivery, and services.
• Create and issue Purchase Orders efficiently within the system.
• Coordinate with the finance department for order release and payment processing, including dues, advances, LCs, and IDCs.
• Follow up with the warehouse and other departments for material receipt and Goods Receipt Note (GRN) creation.
• Resolve order discrepancies with suppliers and maintain comprehensive, updated purchasing records and pricing data.
• Prepare reports on open purchase orders and requests, including justifications for non-conversion and monitoring delivery times.
• Monitor inbound items and stock levels to prevent shortages, expediting deliveries when necessary.
• Manage short-cycle demands, production emergencies, and expedite urgent or past-due requirements.
• Support the purchasing function, communicate supply problems, and develop alternative supply sources.
• Source materials for new product development and provide necessary documentation (SDS, specifications, COA) to Quality Assurance/R&D.
• Establish supplier scorecards, conduct performance reviews, and assist in supplier qualification and re-qualification activities.
• Negotiate contracts, improve pricing and terms with suppliers, and identify opportunities for business savings.
• Build and maintain strong supplier relationships, ensuring a professional and consistent approach.
• Propose and implement job-related process improvements and participate in supplier audits for quality assurance.

Qualifications and Experience

• Bachelor’s degree in Pharmacy, Chemistry, or a related field.
• 1+ years of experience in a similar procurement or supply chain role.

Skills and Competencies

• Strong negotiation and communication skills.
• Ability to manage supplier relationships and resolve disputes effectively.
• Proficiency in maintaining purchasing records and preparing detailed reports.
• Knowledge of applicable procurement rules, legislation, and best practices.
• Analytical skills for cost analysis and identifying cost reduction opportunities.
