About the Role

International Maritime Industries is seeking a Production Administrator to provide essential administrative and clerical support across various production disciplines. This full-time role is integral to the production department, contributing to efficient and organized operations by managing data, requests, and documents. The administrator will also facilitate communication and system troubleshooting within the team.

Role Purpose

The Production Administrator supports all production disciplines, including Structural, Piping, Mechanical, E&I, Commissioning, Coating, and Scaffolding. Key responsibilities involve data management and entry into company software systems for personnel-related information, various requests (*, annual leave, overtime, travel, transport), and document circulation in accordance with IMI policies. The role requires liaison with the IFS and IT teams for system issues and direct communication with industrial supervisors and workers to manage daily operational challenges, particularly those arising from language barriers.

Key Responsibilities

  • Receive, collect, duplicate, record, and distribute official documents delivered to the department via IMI channels.
  • Receive, file, record, scan, and distribute personnel-related documents (*, leave requests, medical records, travel requests) through established digital channels such as IFS, AVEVA ERP, and email.
  • Collect daily attendance sheets from supervisors, centralize them at the department level, and scan, file, and record them for future reference.
  • Receive daily personnel allocation per project from supervisors and generate weekly, monthly, or on-demand centralized allocation timesheets for project management and cost control.
  • Print, duplicate, and distribute project-related documents and maintain records of distributed documentation as requested by engineers.
  • Collect and centralize all documents and data related to HSE records, inventory management, office consumables, and tool maintenance from supervisors.
  • Synthesize collected data and prepare reports as requested by department leaders, providing routine administrative support to the team.

Qualifications and Experience

  • A minimum of 5 to 10 years of relevant experience is required.
  • Demonstrated ability to perform data management and entry using company software systems.
  • Experience in managing various administrative requests and document circulation.
  • Proficiency in liaising with IT teams for system troubleshooting.
  • Strong communication skills, particularly in overcoming language barriers in an industrial setting.
