UrbaCon Contracting & Trading Company is seeking a Senior Administrator to provide essential office and administration support. This full-time role focuses on delivering excellent customer service and managing various administrative functions to ensure efficient operations.
Role Overview
The Senior Administrator is responsible for handling information requests, performing clerical duties, and fulfilling all assigned administration requirements. This position acts as a key point of contact, contributing to organizational branding both internally and externally through professional conduct and service delivery.
Key Responsibilities
- Maintain professionalism and approachability, providing excellent customer service to all visitors.
- Manage a scheduler for the direct supervisor, organizing appointments and providing daily reminders to ensure critical meetings are attended.
- Check the admission of guests without appointments to the direct supervisor daily.
- Maintain a log of visitors and appointments for daily reference.
- Confidentiality and accurately distribute, record, or file correspondences, calls, or queries to ensure efficient traceability of all documents.
- Ensure timely distribution of departmental documents to concerned personnel.
- Screen and organize documents for the direct supervisor's signature file daily.
- Record all distributed documents and monitor actions taken for correspondence requiring a reply.
- Advise the direct supervisor of any documents or matters requiring immediate attention.
- Screen and forward approved calls to the direct supervisor.
- Monitor all incoming and outgoing departmental documents in compliance with the quality management system.
- Ensure proper dissemination of mail within the department.
- Ensure timely delivery and receipt of couriers and packages.
- Collate data and prepare professional reports, memos, or presentations as requested by the supervisor, within established timeframes and with minimal errors.
- Support the implementation of HSE initiatives, participate in safety awareness activities, and contribute to incident reporting and resolution in alignment with company and IMS policies.
