About the Role

UrbaCon Contracting & Trading Company is seeking a Senior Document Controller to manage and oversee the organization, distribution, and tracking of documents within projects and the organization. This full-time role ensures that all documents are accurately recorded, stored, and accessible to authorized personnel as needed, maintaining data integrity and supporting effective communication.

Role Overview

The Senior Document Controller is responsible for facilitating efficient document workflows and supporting collaboration among project teams. This position may involve supervising document control staff, developing procedures, and coordinating with various stakeholders to ensure compliance with document management requirements.

Key Responsibilities

  • Supervise document control activities and ensure compliance with established procedures and standards.
  • Oversee the organization, categorization, and filing of documents to facilitate retrieval and accessibility.
  • Manage document distribution processes, including receiving, reviewing, and disseminating incoming and outgoing documents.
  • Track document revisions, updates, and approvals, maintaining accurate records of document history and status.
  • Develop and implement document control procedures, workflows, and best practices to optimize efficiency and accuracy.
  • Train and mentor document control staff on document management processes, software systems, and compliance requirements.
  • Liaise with project managers, engineers, contractors, and other stakeholders to coordinate document-related activities and resolve issues.
  • Conduct regular audits and quality checks of document management systems to ensure data integrity and compliance with regulatory and organizational standards.
  • Provide technical support and troubleshooting assistance to users of document management software systems.
  • Contribute to continuous improvement initiatives for document control processes, systems, and tools.
  • Support the implementation of HSE initiatives, participate in safety awareness activities, and contribute to incident reporting and resolution in alignment with company and IMS policies.
