About the Guest Management Lead Role

Talent Blueprint FZ LLC is seeking an experienced Guest Management Lead for a contract position in Riyadh. This role is responsible for the comprehensive management of guest experiences for high-profile international events, including conferences, summits, forums, and government engagements. The position requires a professional with a strong background in protocol and hospitality to ensure seamless operations and exceptional service for all attendees.

Key Responsibilities

The Guest Management Lead will oversee the entire guest management lifecycle, from initial planning through to post-event evaluation. Key duties include:

  • Developing and executing the end-to-end guest management strategy for all event phases.
  • Managing invitations, RSVP tracking, accreditation, registration, and attendee communications.
  • Planning and overseeing protocol services for ministers, government officials, diplomats, VIPs, and international delegations.
  • Coordinating all aspects of guest logistics, including airport arrivals/departures, meet-and-greet services, transportation, accommodation, and hospitality.
  • Creating detailed guest journey plans and operational procedures to ensure a smooth participant experience.
  • Liaising with protocol offices, government authorities, hotels, transport providers, venues, security teams, and other event stakeholders.
  • Managing VIP lounges, hospitality areas, executive holding rooms, and on-site guest service operations.
  • Preparing essential guest documentation such as manifests, seating plans, movement schedules, briefing documents, and protocol notes.
  • Leading and supervising guest management teams, registration staff, volunteers, and hospitality personnel.
  • Promptly resolving guest issues while maintaining professionalism and discretion.
  • Ensuring adherence to event protocols, security requirements, and service standards.
  • Producing post-event reports, operational reviews, and recommendations for improvement.

Qualifications and Experience

Candidates should possess the following qualifications and experience:

  • A Bachelor's degree in Event Management, Hospitality Management, Tourism, Business Administration, or a related field.
  • A minimum of 7 to 10 years of experience in guest management, protocol, hospitality, or event operations.
  • Demonstrated experience in delivering international conferences, summits, forums, exhibitions, or government events.
  • Proven experience managing VIPs, ministers, senior government officials, diplomats, C-suite executives, and international delegations.
  • A strong understanding of government protocol, diplomatic etiquette, and executive hospitality.
  • Experience managing large-scale guest registration systems and accreditation processes.
  • Proficiency with event registration and guest management platforms is preferred.
