Overview of the Role

The National Medical Care Company (Care) is seeking a Receptionist for a full-time position in Makkah. This role is fundamental to ensuring the delivery of excellent customer service through efficient processing of services, clear communication, and effective coordination with various departments. The Receptionist provides prompt and accurate service to staff, patients, and visitors within the hospital environment.

Core Responsibilities

The primary duties of the Receptionist involve managing patient interactions and administrative processes to support a seamless patient journey. Key responsibilities include:

  • Ensuring a superior quality of care, compassion, and understanding is provided to every patient.
  • Registering patient information completely and accurately in both English and Arabic within the HIS system.
  • Verifying patient identity prior to creating patient files, processing medical record requests, and issuing invoices.
  • Handling patient admission, transfer, and discharge processes in HIS, particularly if assigned to ADT/ER Registration.
  • Securing pre-approval and cash deposits before elective procedures or admissions.
  • Collecting and submitting cash to the general cashier daily or at the end of the work shift.
  • Coordinating with claims and billing departments to expedite administrative processes and prevent financial discrepancies.
  • Making appointments for subsequent visits and providing non-medical instructions as required.
  • Attending to telephone inquiries and interacting effectively with customers.

Patient Service and Administrative Duties

In addition to core registration tasks, the Receptionist plays a vital role in direct patient support and departmental administration:

  • Maintaining patient information confidentiality and upholding patient rights.
  • Enhancing patient experience through attentive customer care, respect, compassion, and dignity.
  • Providing administrative and clerical support services to the Patient Services Department, its staff, patients, and other visitors.
  • Coordinating with Department Heads and Supervisors regarding Patient Services issues or concerns.
  • Offering support and assistance to patients seeking inquiries or lodging complaints.
  • Maintaining an organized filing system for quick and easy access to documents.
  • Completing daily tasks and assignments, and processing large volumes of work associated with departmental operations.
  • Participating in quality improvement programs as directed.
  • Performing other work-related duties as assigned by the Department Head or Manager.

Required Qualifications

Candidates for this position should meet the following criteria:

  • Education: Diploma or College graduate.
  • Experience: A minimum of two (2) years of experience in a similar position, with a preferred background in a healthcare facility. The role typically requires 2-5 years of relevant experience.
