About the Role

James L Williams Middle East is seeking a Document Controller to join its Project Team. This full-time, site-based position is located in Riyadh, Saudi Arabia, and is crucial for supporting the successful delivery of major construction projects within the Kingdom.

Role Overview

The Document Controller is responsible for managing all project documentation, maintaining robust document control systems, and ensuring the timely distribution of project records. This role also provides essential site administration support, operating in strict accordance with company procedures and client requirements. The successful candidate will play a key part in upholding document integrity, ensuring compliance, and facilitating effective communication among all project stakeholders.

Key Responsibilities

  • Manage and maintain all project documentation in accordance with the Project File Index and Document Control Procedures.
  • Control the receipt, distribution, tracking, filing, and archiving of incoming and outgoing project documents, ensuring proper record keeping and acknowledgements.
  • Maintain and update document registers and logs for WIRs, MIRs, RFIs, NCRs, SORs, Method Statements, Damage Reports, IFC Drawings, and other project documentation.
  • Coordinate document submissions, including WIRs, MIRs, Method Statements, and Builder's Work Requests, for consultant review and approval.
  • Administer project documentation within the Electronic Document Management System (EDMS), preferably Aconex, ensuring accurate uploading, distribution, and tracking.
  • Prepare project correspondence, reports, and transmittals as requested by the Project Director or Project Manager.
  • Monitor overdue document actions and follow up with project teams, consultants, and subcontractors to ensure timely responses and document closure.
  • Maintain red-line mark-ups, as-built documentation, and project records to support engineering and construction activities.
  • Provide administrative support to the site office, including document control, employee records, office supplies, petty cash coordination, and general site administration.
  • Ensure compliance with company quality procedures, client requirements, and project document control standards.

Qualifications and Experience

  • Bachelor's degree in any discipline; formal training or certification in Document Control is an advantage.
  • 3–5 years of experience as a Document Controller within the construction industry, preferably on large-scale building or infrastructure projects.
  • Strong working knowledge of Electronic Document Management Systems (EDMS), preferably Aconex.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience working with consultants, subcontractors, and client document control procedures.
  • Familiarity with Saudi Aramco, NEOM, ROSHN, Red Sea Global, or other major KSA project documentation requirements (if relevant to your projects).

  • Ability to manage multiple priorities while maintaining document accuracy, confidentiality, and compliance.
  • Proactive team player with strong coordination, administrative, and problem-solving skills.

Work Location

This is a full-time, site-based position located in Riyadh, Kingdom of Saudi Arabia. The role requires a willingness to work on-site to support major construction projects.
