About the Role

Samaco Motors is seeking a dedicated Parts Advisor to join its team in Riyadh. This full-time role is central to ensuring efficient parts operations, maintaining accurate stock records, and delivering high levels of customer satisfaction. The Parts Advisor is responsible for accurately identifying customer parts requirements, managing inventory, processing orders, and upholding company policies and industry guidelines.

Customer Parts Identification and Knowledge

The Parts Advisor plays a critical role in assisting customers by accurately identifying their parts requirements and maintaining comprehensive product knowledge. Key responsibilities include:

• Accurately identifying customer parts requirements.
• Maintaining up-to-date knowledge of new or updated parts via desktop resources, ensuring parts bulletins, lists, and catalogues are read and stored.
• Remaining aware of seasonal requirements and parts needed for recalls or special offers.
• Attending training courses to develop job-related knowledge.
• Liaising with the Parts Manager to monitor lost sales for inventory control.
• Searching for part numbers using electronic parts catalogues (EPAC, ETKA).
• Sourcing the availability of additional parts from outside the Retailer network when necessary.

Inventory Management and Order Fulfillment

Effective management of parts stock and precise order processing are essential functions of this role, encompassing:

• Ensuring all stock is kept securely and in good condition, maintaining stock control, and guarding against any unauthorised removal of parts stock.
• Checking all incoming deliveries, placing them in the correct bins, and reporting any discrepancies to the Parts Manager.
• Obtaining a receipt, payment, or authorised signature for all parts stock issued.
• Assisting the Parts Manager in all aspects of stocktaking.
• Ensuring all paperwork, documentation, and parts requisitions are completed accurately.
• Processing all credit sales transactions to an authorised signatory or approved account, and securely receiving and storing cash and cheque payments.
• Placing special orders as necessary, balancing economy and speed of delivery according to Parts Manager guidelines.

Customer Service Excellence

A core aspect of the Parts Advisor role is to ensure high levels of customer satisfaction through professional and efficient service, including:

• Satisfying customer requirements by accurately identifying parts.
• Answering customer queries regarding parts warranties in an easily understood manner.
• Receiving customers promptly and courteously.
• Developing and maintaining excellent relationships with customers by meeting and exceeding their expectations.
• Maintaining accurate customer records, including the Parts Club member’s database.

Compliance and Operational Standards

The Parts Advisor is responsible for upholding departmental and company standards, ensuring compliance with all relevant policies and regulations:

• Ensuring the department is kept clean and tidy.
• Ensuring the correct recycling of all disposed and damaged items in line with environmental regulations.
• Adhering to all Health and Safety and Company policies and procedures.
• Ensuring Volkswagen procedures pertaining to recycling/exchange units are adhered to.
